Job Title: Executive Assistant for a Short Term Hospitality Company (Tech-Savvy) - Field Operations
Location: New Jersey
Position Overview:
We are seeking a highly organized and tech-savvy Executive Assistant to provide comprehensive support to our CEO, with a focus on field operations. This role requires reliable transportation as the incumbent will be in the field 2-3 days a week depending on the need, primarily between 10 am to 6 pm, although flexibility is required for urgent matters. The ideal candidate will possess exceptional critical thinking skills, be adept at maximizing our tech stack, and demonstrate the ability to prioritize tasks effectively in a dynamic environment.
Key Responsibilities:
1. Provide high-level administrative support to the CEO, including calendar management, scheduling meetings, and coordinating travel arrangements.
2. Act as a liaison between the CEO and various internal departments, external partners, and clients, both in-office and in the field.
3. Utilize technology platforms and tools such as Slack, Monday, Google Sheets, Whatsapp, and Bill.com to streamline processes and optimize workflow efficiency, adapting to field conditions as needed.
4. Analyze existing systems and workflows to identify areas for improvement and implement innovative solutions, leveraging available tech tools to enhance field operations.
5. Prepare and distribute correspondence, presentations, and reports on behalf of the CEO, ensuring timely and accurate communication using relevant platforms.
6. Maintain confidentiality and handle sensitive information with discretion, both in-office and while in the field, utilizing secure communication channels as necessary.
7. Anticipate the needs of the CEO and proactively address any challenges or obstacles, demonstrating flexibility in work hours and locations.
8. Prioritize tasks effectively to ensure timely completion of assignments, balancing office duties with field responsibilities and utilizing tech tools for efficient task management.
9. Stay up-to-date with industry trends and advancements in technology to suggest relevant improvements to our tech stack, particularly in relation to field operations.
10. Be available on-call to assist the CEO with urgent matters, demonstrating flexibility in work hours and locations as required.
11. Be able to do some very light maintenance work as needed (touch up paint, change light bulbs, etc) and for more complex tasks be able to communicate with the maintenance team for support.
12. Be able to do Inventory Restocking as needed, may need to visit stores in the process (Costco, Walmart, etc)
13. Support the company in any capacity needed
Qualifications:
1. Bachelor's degree in business administration, management, or a related field is a plus.
2. Proven experience as an Executive Assistant or in a similar role, preferably supporting C-level executives.
3. Strong proficiency in utilizing various software applications and tech tools such as Slack, Monday, Google Sheets, Whatsapp, and Bill.com to enhance productivity and streamline operations.
4. Excellent organizational skills with the ability to multitask and prioritize tasks effectively, both in-office and in the field.
5. Exceptional critical thinking and problem-solving abilities, particularly in dynamic field environments.
6. Outstanding communication and interpersonal skills, with the ability to collaborate effectively with diverse teams.
7. Reliable transportation and a valid driver's license, with the ability to travel between locations as required for field operations.
8. Ability to maintain composure under pressure and adapt to rapidly changing priorities, both in-office and in the field.
9. High level of discretion and confidentiality, particularly when handling sensitive information in various locations.
10. A proactive and self-motivated attitude with a strong commitment to excellence, especially in supporting the CEO's field operations.
11. Available for on-call tasks when emergencies arise.
Salary:
$20-$30/hr depending on experience
