Urgently hiring for Executive assistant role.
Reporting directly to the President and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President.
The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organises and coordinates executive outreach and external relations efforts; and oversees special projects.
The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
The Executive Assistant will be responsible to manage charity work and NGOs on behalf of CEO.
The Executive Assistant will provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
Responsibilities:
- Provide high-level administrative support to the CEO
- Manage and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research and compile data for various reports and presentations
- Coordinate and facilitate meetings, conferences, and special events
- Take minutes during meetings and distribute them to relevant parties
- Handle confidential information with discretion
- Perform general clerical duties such as data entry, filing, photocopying, and faxing
- Assist in managing office supplies and inventory
- Answer and screen phone calls in a professional manner
- Greet visitors and direct them to the appropriate person or department
- Complete other task as assigned by supervisor.
Qualifications:
Bachelor's Degree in Business Administration or related field is preferred.
- Proven experience as an Executive Assistant or similar role
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge and hands on experience with of Social Media campaigns.
- Strong organisational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Ability to maintain confidentiality and exercise discretion when handling sensitive information
- Professional phone etiquette and customer service skills
- Experience in event planning is a plus
- Computer literacy with the ability to learn new software applications quickly
