Additionally, the position is responsible for executing administrative and operational support related to planning, directing and coordination of activities associated with the Architectural Review Process (ART). This position must be able to assist with creation and distribution of support materials, meeting minutes, scheduling, attendance tracking and related document management along with communication with customers or requestors. The schedule for this role is Monday - Friday, 8am - 5pm.
Responsibilities:
- Provides executive level secretarial and administrative support, including composing and managing correspondence.
- Effectively coordinates calendars, meetings and travel.
- Organizes and oversees assigned projects independently with strong attention to detail.
- Operational support of ART throughout the process cycle from request, through primary and sub teams to completion of request evaluation. Acts as meeting coordinator by organizing agenda items, inviting attendees, taking minutes, meeting logistics, materials, resources, maintaining records for the ART process, assist in developing presentation items and attend all ART program team meetings.
- Builds effective and collaborative relationships with executive team and physicians.
- Provides professional customer service both to internal and external customers, individually and as part of the organizational development team, by phone, electronically and in person.
- Maintains files and records, including financial data for department.
- Prepares reports, meeting minutes, presentation materials and spreadsheets as requested.
- Maintains office supplies.
- Analyzes, tracks and reconciles purchases, FTEs and departmental budgets. Timely accounts payable submission and approval for departmental expenses is required. Creation of monthly IT Financial reports for the CIO.
- Researches and collaborates with other ITS leaders to facilitator vendor contract workflows within MediTract for legal review, tracking and finalization. This position requires engagement with vendor resources to allow efficient contract negotiations between vendors and the Cone Health Legal team.
EDUCATION:
PREFERRED: Associate's or Bachelor's degree, with 1-2 years of administrative support within a professional business environment.
Will consider a combination of experience and education.
EXPERIENCE:
1-3 years PMO or Enterprise Architecture support
PREFERRED: Healthcare experience, working with executive leaders and physicians
Associate's Degree and 3-5 years administrative support
Bachelor's Degree and 1-3 years administrative support
