Job Description:
Hite Consulting is seeking multiple Executive Assistants to provide day-to-day professional administrative and operational services to senior leaders at the Centers for Disease Control and Prevention (CDC). You must be able to work independently with minimal guidance. This position is a hybrid role working on-site and remotely in Atlanta, GA., candidates should be local to the Atlanta area.NOTE: This position is Contract Contingent and will begin once the contract is awarded.
Position Duties:
- Perform various administrative functions related to personnel processing, time and attendance/payroll, procurement/purchasing of office supplies, processing training orders, and completing other duties necessary to support CDC operations;
- Input, process, and track travel and/or conference requests using various CDC systems and routinely inform travelers on status;
- Educate travelers on rules and requirements governing travel, conferences, and training;
- Develop an extensive working knowledge of leadership staff’s preferred practices and procedures and manage their Microsoft Outlook inboxes and calendars, including creating email rules and alerts, scheduling appointments/meetings that include appropriate required and optional attendees, and prioritizing meetings and troubleshooting when multiple meetings overlap or meeting times conflict;
- Prepare requests for office supplies, purchases, training, and equipment;
- Communicate and liaise with executive staff across CDC;
- Coordinate face to face and/or virtual meetings, conferences, site visits, partner visits, and other important events that require the attendance/participation of CDC staff;
- Secure CDC meeting space, create Zoom or Teams links (including setting up polls and breakout rooms for remote attendees), coordinate and address all audio-visual needs and ensure that audio-visual equipment is available and working properly;
- Take notes and prepare summaries of meetings;
- Assist in the preparation of briefings, testimony, spreadsheets, educational presentations, and meeting agendas;
- Prepare, maintain, and disseminate correspondence;
- Review incoming correspondence and requests for information and develop/maintain a tracking system to ensure timely responses;
- Track and monitor the flow of documents, in and out of the work unit, and track suspense dates to ensure timeliness;
- Maintain office files and records according to applicable CDC guidelines and the Federal Records Management Regulations;
- Perform other duties as assigned.
Qualifications and Education Requirements:
- Associate degree or minimum of 5 years supporting an executive in a complex organization;
- Advanced knowledge of Microsoft Office 365 programs including Word, Excel, Teams, Calendar, Outlook, Access, and PowerPoint;
- 2 years’ experience working with the CONCUR Government Edition travel system;
- Working knowledge of CDC administrative systems for training, timekeeping, purchasing and other routinely used CDC systems;
- Skills and ability to coordinate meetings and conferences, including video conferences;
- Ability to work independently and as part of a team;
- Exceptional verbal and written communications skills and ability to adjust to changing situations;
- US Citizenship required with the ability to obtain or maintain an active NACI security clearance.
