POSITION SUMMARY:
Provides high level of clerical support to the ChiefExecutive Officer (CEO) or other management personnel by performing a wide variety of responsible, complex andconfidential administrative, secretarial, analytical and research duties. Duties performed require considerableconfidentiality, initiative, tact, and mature and independent judgment. This classification requires leadershipqualities such as adaptability, flexibility, dependability andaccountability. Much of the work is self-appointed,and requires a high degree of professional independence, initiative andself-discipline in accordance with Boone County Hospital's standards ofbehavior.
ESSENTIAL FUNCTIONS:
- Provide administrative, organizational, and scheduling structure and support that requires communication with both internal and external executives, physicians, and assistants.
- Act as a liaison between CEO and Department Directors, physicians, or the public and represent and communicate issues and directives.
- Prepare agendas for, attend meetings, and record minutes for Board Committee and Board of Trustee meetings.
- Prioritize and manage multiple projects simultaneously.
- Initiate and respond to written and verbal correspondence, including composition, editing, and distribution.
- Create and maintain a system for organizing and storing both electronic and hard-copy information records.
- Coordinate and organize meetings, including notification to prospective attendees, set-up, pre- and post- meeting correspondence, and any required follow-up.
- Maintain the physician database including, but not limited to, information on current licensure, DEA numbers, liability insurance and appointment expiration dates.
- Maintain individual practitioner files for all members of the medical staff and allied health providers staff.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in in professional societies.
- Perform other duties and assume other responsibilities as assigned.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Ability to use initiative and independent judgment within established policies and procedural guidelines.
- Ability to exercise tact and discretion in preparing, handling, and disclosing information of a confidential, controversial and/or sensitive nature.
- Ability to establish and maintain effective working relationships with all levels of the organization and public.
- Ability to read, understand, and apply complex legal documents, contracts, etc.
- Ability to efficiently respond in a calm and effective manner to a variety of demands and projects.
- Task management skills.
- Computer literacy.
- Associates in Business degree (preferred)
