Job description

Collins Community Credit Union is seeking a full time Executive Administrative Assistant to support our President/CEO.
The Executive Administrative Assistant is responsible for executive level administrative support to meet the operational needs of the organization. He/she will be responsible for typing credit union correspondence, reproducing, and distributing reports, and maintaining administrative files.

Job Requirements:
  • Demonstrates enthusiastic support of corporate mission, core values and long-term objectives. Performs duties within our bylaws, regulations, Board of Directors policies, established internal and external service standards and our work procedures.
  • Ability to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology.
  • Strong skills in the use of Microsoft Office, Word, Excel, Power Point, Teams, Outlook, ShareFile, HelpJuice, Adobe products and other electronic platforms.
  • Handle multiple work assignments successfully, have a proactive attitude, and take initiative without prompting.
  • Ability to critically think through issues/problems and identify effective solutions/outcomes.
  • Ability to handle confidential information with tact and discretion.
  • Ability to cope under stressful situations and handle complex assignments.

Essential Functions:
  • Assemble and prepare monthly board and committee reports, document meeting minutes, coordinate committee schedules and correspondences, upload to secure file and maintain retention documents, providing documents timely.
  • Supports and organizes the organization's Board events.
  • Maintains President/CEO's calendar and effectively coordinates and schedules meetings as directed.
  • Answers President/CEO's telephone and monitors email in their absence for immediate response.
  • Distribute President/CEO's mail and properly maintain administrative files.
  • Copies and distributes publications as directed.
  • Oversees the ordering and distribution of credit union logo shirts to staff.
  • Assists with Annual Policy Review, up to and including record retention and file maintenance.
  • Notifies staff of life events and orders corresponding gifts.
  • Arranges and ensures meeting needs such as refreshments, meals, room arrangements, materials and required media are met.
  • Handles offsite planning session preparation by securing location, meal planning, excursions, events, etc.
  • Creates and publishes monthly staff newsletter.
  • Serves as primary contact and record keeper for building rental spaces.
  • Manages travel arrangements for President/CEO.

Must be available to work during business hours:
  • Monday- Friday 8:00am to 5:00pm
  • Flexibility to stay after 5:00pm for Board events and meetings.

Job Qualifications:
School diploma, GED or equivalent with a minimum of two years related work experience; college degree preferred; proficient skills for creating presentation materials, organizing meetings and schedules, and time management; ability to understand banking terms and financial statements; professional appearance; excellent written and verbal communication; experience using Microsoft Office; must be bondable in accordance with State of Iowa and CCCU guidelines.
