THE ROLE

As the Executive Assistant to our CEO & COO (our Founders), you will have a critical impact on the success of our company. As the backbone of support, you will ensure that our Founders have the support to manage competing priorities and direct focus where the business requires it, as well as have the necessary tools to effectively manage the business. You will be the go-to person for strategic stakeholder alignment, schedule coordination, travel arrangements, and other administrative tasks. Additionally, you will have the opportunity to provide creative solutions to strategic and day-to-day challenges, anticipate the founders' needs, and take initiative to manage their workflow.

WHAT YOU WILL DO
  • Manage complex and dynamic calendars while using best judgement and consideration of the CEO & COO's times
  • Manage all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and submitting expense reports
  • Provide administrative support and manage daily workflow, balance competing priorities, and make appropriate informed decisions
  • Keep the CEO & COO well informed of upcoming commitments and responsibilities, following up appropriately, and helping to keep a pulse on existing or potential issues
  • Handle confidential documents and sensitive information in a discreet manner
  • Serve as a first point of contact for the CEO & COO and developing systems to prioritize their times and activities
  • Edit documents and presentations as needed; prepare materials and communications for internal meetings of key stakeholders as well as the Board and investors
  • Supports company wide offsites, events, and customer engagements
  • Draft complex and/or confidential correspondence, handling confidential company materials with sensitivity and discretion
  • Perform a broad variety of administrative tasks for the CEO & COO

WHAT WE'RE LOOKING FOR
  • 5+ years of experience, at least 3 of which must have been supporting a C-level senior executive or Founders in a fast-paced and demanding environment (e.g. tech startup, consulting, agency, or investment banking)
  • Bachelor's Degree or equivalent work experience is preferred
  • A background in hospitality is considered a strong plus
  • High levels of energy, self-motivation, and an uncanny ability to prioritize as well as work independently when needed
  • Demonstrated professionalism, discretion, and experience working with senior executives as well as highly confidential information
  • Ability to switch between tasks seamlessly, respond to needs efficiently and effectively
  • Strong awareness and comfort operating across multiple time zones
  • Excellent judgment in setting priorities and interacting with internal and external contacts; proven record of sound decision making
  • Excellent communication and interpersonal skills with the ability to effectively communicate with all levels of management, other departments, and both internal and external stakeholders

WHERE YOU WILL WORK

Our team is spread out across the world, with hubs in Berlin, Helsinki, New York, and Minneapolis. We believe that having our team close to one another fosters better communication and productivity. This role requires you to be based in New York, NY even though there is not yet an office there. Initially, you will be expected to work remotely, with the possibility of moving to a flexible-hybrid working arrangement in the future.
