**This is Contract, Full-time Benefits-Eligible role (with the potential for extension)
In this role, these are the primary duties and responsibilities:
- Departmental file organization and maintenance
- Mail distribution
- Special mail services (e.g. messenger, courier, overnight)
- Supply inventory monitoring and ordering
- Facilities requests (e.g. air/heat issues, lighting)
- Staff expense reimbursement requests
- Tracking budget expenditures
- Printing requests (e.g. business cards, training manuals)
- Compliance poster location log
- Leverage knowledge of administrative practice, policies and procedures and the ability to independently problem-solve and perform duties and responsibilities.
- Review, revise, and maintain and update HR Compliance administrative manual.
- Screens calls, inquiries and requests; exercises judgement when prioritizing calls and appointments; routes inquiries to other levels of the organization as appropriate.
- Maintains the Executive Director's calendar, schedules appointments and meetings, makes travel arrangements. Arranges meetings, coordinates meeting rooms, contacts attendees, facilitates their attendance, ensures that required informational materials and equipment are provided.
- May assist other HR Compliance managers/staff with meeting arrangements.
- Assists with budgeting and tracking process. Includes review of budget/financial reports and data, identification of variances or discrepancies and entry of data. Notifies Executive Director of issues cited.
- Proficiently type correspondence, memoranda, legal, procedure manuals, policy statements, and other documents. Thoughtfully draft, proofread and edit documents, including but not limited to emails memos, letters, reports, meeting summaries, announcements and logs.
- Proactively runs, coordinates and administers all human resources and payroll functions for the department - Staff Development Advisory Network (SDAN) Representative, Safety Representative and Kronos editor.
- Attends scheduled SDAN, Safety Kronos and other relevant meetings/training
- Monitors and provides ample notice to staff of mandatory training and other requirements
- Update staff skills in HRIS system
- Serves as HR Compliance and Labor Relations HealthStream contact
- Maintains department HR records as required for survey purposes
- Monitors staff Kronos, identify gaps/questions, and edit time records
- Maintains HR Compliance and Labor Relations Safety manual
- Pre-employment and onboarding preparation
- Termination Checklist
- Provide administrative and project support as needed to all HR Compliance and Labor Relations fields; Compliance, EEO/AA, Labor Relations and Litigation.
Education Requirements:
Experience providing operational/administrative support in a large, complex organization.
Experience working in Human Resources
