Executive Assistant - Client Services
Cooke Wealth Management (COOKE) is seeking a reliable self-starter, with good organizational skills, for a key full-time Executive Assistant - Client Services position. COOKE is a boutique wealth management firm located by the John Wayne Airport in Orange County, California providing Financial Planning and Investment Management services from a Christian Perspective. The firm is looking to grow and values a team atmosphere and strong work ethic.
SUMMARY/OBJECTIVE
Provide customer service and act as first point of contact for clients, providing non-advice related support. Assist and support Financial Advisor(s) performing various administrative tasks. The position requires the ability to anticipate needs and interact with clients with a high level of professionalism and confidentiality. Represent COOKE to the public as the best faith-based wealth management firm in the area.
ESSENTIAL FUNCTIONS
1. Interface with clients to schedule meetings and handle service requests.
2. Process investment servicing paperwork and interface with custodians such as Charles Schwab & Co.
3. Collect financial data and operate, update, and maintain management software.
4. Answer and make calls on behalf of team, relaying all necessary information on a consistent basis.
5. Understand and monitor compliance requirements and office procedures.
6. Maintain client relationship software, electronic filing system, and physical filing.
7. Prepare and provide paperwork and reports as needed.
8. Handle office management including mail, conference room, office supplies and equipment.
9. Maintain a clean and safe environment, reporting any property issues to management.
10. Assist and manage special projects as assigned.
REQUIRED EDUCATION and EXPERIENCE
High school graduate with 2+ years of college education and minimum of 3 years of business office experience, or in lieu of college, 5+ years of administrative support experience.
SKILLS & ABILITIES REQUIRED
- Strong computer skills in MS Excel, Word, and Outlook. Experience in Salesforce software is preferred.
- Quick learner of multifaceted software systems, and the ability to adapt to change.
- Effective time management/multi-tasking/ability to work independently with limited supervision.
- Excellent written and verbal communications skills.
- Strong organizational skills including, but not limited to: the ability to accurately and efficiently manage and complete tasks, work under deadlines, prioritize workload, juggle multiple tasks at once, self-motivated.
- Careful attention and accuracy to detail.
- Problem solving skills with a commitment to excellence/proactive/innovative.
- The ability to collaborate in a positive, professional, and constructive manner.
- Must be upbeat and have a client friendly attitude.
EXPECTATIONS
This position is 30 - 40 hours per week with room for growth. Work days and hours are flexible, however must be scheduled in advance. Prior to hire successful completion of clerical and computer competency testing.
This position requires behavior and dress commensurate with a professional office environment. We collect confidential client information requiring successful applicant to undergo a background check, including credit report. Employees are required to maintain strict confidentiality of such information as outlined in our compliance manual.
SALARY RANGE
$30 - $35/hour
