Job Summary: We are looking for an Executive Assistant with excellent organizational skills and passion to provide support to help the CO-CEOs. This individual will act as an extension of the executives. The ideal candidate will be an experienced planner and coordinator with the ability to proactively anticipate needs and understand the handling of confidential information. The successful candidate will possess the ability to complete complex tasks quickly with minimal guidance and react with appropriate urgency to situations that require quick turnaround. What You'll Do:
- Management of complex calendars and scheduling for various obligations, including scheduling meetings and appointments; and coordinate with other executive calendars (including 3rd parties).
- Scheduling internal and external meetings via video conferences and other meetings; adjustment and prioritization of last-minute changes, including logistics.
- Handle mail, paperwork and maintain files and supplies as needed.
- Manage requests for an executive's time and attention to internal and external issues while ensuring schedules are met.
- Prepares for and follows up on internal and external meetings. When needed, participates directly in virtual meetings, and conducts follow up on the executive's behalf.
- Organize, execute, and assist with activities.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive.
- Carries out assignments relating to civic or committee activities of the executives.
- Responding and following up on calls, emails, and other inquiries on executives' behalf.
- Help With Errands (Both Work-Related and Personal): business travel plans, sending gifts, including driving to and from multiple locations to run errands as requested (must own a car).
- Arranges travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations.
- Maintain e-files
- Proofread, redline, revise documents
- Draft letters
- Track and help drive completion of key deliverables and follow up on outstanding items
- Execute miscellaneous organization projects.
- Perform other day-to-day business as assigned by the executive management team
What You'll Need:
- High school diploma or equivalent required, college degree preferred
- 4+ years of experience as an Executive Assistant
- Agile mindset - comfortable with constant change and successfully manages competing priorities.
- Experience with executive-level calendar management
- Experience with domestic and international travel coordination
- Experience providing executive support assistance at senior management levels
- Strong organizational, communication, and interpersonal skills
- Ability to prioritize and handle multiple assignments at any given time
- High levels of integrity and discretion
- Impeccable attention to detail
- Tech-Savvy and proficient in G-Suite, Microsoft Suite, Zoom, etc.
