The Possible Zone (TPZ), a nonprofit organization, seeks an Executive Assistant who will support TPZ’s Leadership Team and day-to-day administrative needs. The ideal candidate is an administrator with significant experience working with senior leadership, is passionate about closing the opportunity gap, and has a strong attention to detail, organization, and time management skills. This is a hybrid role based in our Boston Innovation Center, with the expectation of working 2-3 days per week in our Boston office.

What if all young people could follow their dreams? What if they had the opportunity to design and launch a company or social-venture they were passionate about? What if they knew what an entrepreneur, venture capitalist, industrial designer, data scientist, marketing executive, electrical engineer, biotech researcher, advanced manufacturer, roboticist, game designer, journalist, nonprofit leader or mayor does and why? What if they were given the opportunity to intern in these positions and work settings while still in high school? And what if they had the chance to learn the foundational professional and technical skills needed to succeed in any of these careers? And very importantly, what if they develop a mindset, where their imagination and creativity can be fully explored, where everything is possible and where no boundaries exist? Would young people believe they could pursue these careers or any others they choose? Would they become what they had dreamed?

At The Possible Zone, our resounding answer is YES! We are on a journey to develop a transformative model and facility in the heart of Boston’s most diverse and youth-populated communities.

TPZ is an eleven-year-old non-profit organization that has served well over 1,000 students with programming, internships and advisory services during high school toward the mission of economic equity. Our program has demonstrated strong impact in terms of high school graduation, matriculation into post-secondary education and careers, and strong Social Emotional Learning and Identity Development. As we further expand into Boston, TPZ Programming will catalyze a Boston Community Ecosystem that will include students, parents, high schools, community organizations, large corporations, local entrepreneurs, technology companies, venture capitalists, and postsecondary education institutions. Our intent is to join and continue to enhance a Student Ecosystem in Jackson Square and surrounding communities that are similar to those that have emerged in other Greater Boston areas such as Kendall Square and the Seaport District. Collectively we will dream, learn, work, and ultimately create leadership opportunities for economic mobility and prosperity for our students and their surrounding community. CURRENT SCALING (WHAT’S NEXT?)

TPZ recently opened a 35,000 sq. ft. Innovation Center that can serve up to 1,000 students annually. The organization employs 60+ professionals with plans to grow significantly in Boston and beyond in the coming years. ABOUT THE ROLE:

To ensure there is adequate capacity to support TPZ's Leadership Team and day-to-day operations, the organization is seeking an Executive Assistant to partner closely with the Leadership Team to advance a set of critical executive tasks in a timely and high-quality manner. This person will play a meaningful role within the organization by ensuring exceptional communication between organizational leadership and the broader team. This role will be a key partner to the specific areas of Program, Ventures, STEAM, and Research and Evaluation in addition to providing general administrative support across other functions and departments. The primary aspects of this role will include support with overall calendar management, meeting preparation and support, compilation/editing of executive presentations, and a broad range of administrative duties and tasks as needed. This role is a great opportunity for a candidate who has demonstrated expertise and experience working in a fast-paced and rapidly-growing organization.

RESPONSIBILITIES:

  • Support organizational leaders (particularly those leading the functions of Program, Ventures, STEAM, and Research and Evaluation) with daily administrative duties that include calendar management; proactively identifying and addressing scheduling conflicts; printing and distributing materials for meetings; drafting agendas; and note/minute taking for some meetings
  • Support organizational leaders in preparing relevant materials for meetings by locating, assembling, editing, compiling, and/or summarizing information and data into documents or slide decks, managing iteration and version control, and ensuring adherence to TPZ’s communications and branding guidelines
  • Provide day-to-day support to organizational leaders with any administrative tasks needed to accomplish strategic plan; support organizational projects as appropriate
  • Partner with colleagues on the Administrative Team to develop strong, consistent processes and systems for administrative support at TPZ, leading to greater organizational efficacy
  • Help manage schedules/materials/logistics for organization-wide events
  • Maintain the highest level of confidentiality, take initiative, and exercise excellent judgment

QUALIFICATIONS:

  • 5-7+ years of experience supporting C-Suite execs in a rapid-growth, entrepreneurial setting
  • Strong organizational and time management skills, ability to manage multiple tasks and clearly articulate information both written and orally
  • Attention to detail, and ability to maintain a professional demeanor in dealing with a variety of constituents
  • Highly comfortable with technology with advanced knowledge of GSuite and all its tools along with the ability to flexible and agile to learn other programs and databases utilized by TPZ
  • Possess strong digital skills to compile/revise slide decks for presentations
  • Ability to take initiative, work independently, and anticipate issues before they arise
  • Strong teamwork skills needed to effectively collaborate and plan with coworkers

  • Ability to work under pressure to achieve tight deadlines while managing large volumes of work and prioritizing complex projects

Compensation & Benefits:

TPZ offers a competitive total rewards package including compensation, benefits, and professional development opportunities.

COVID Vaccination Policy

The Possible Zone is requiring that all employees be fully vaccinated against COVID-19.

As a condition of employment, newly hired employees will be required to provide proof of their COVID-19 vaccination.
