Position Overview
The Executive Assistant is responsible for providing administrative support to the CEO and other assigned executive leaders. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive and confidential information with the utmost discretion. The successful candidate will be a proactive self-starter, possess excellent communication skills, and be able to prioritize and manage multiple tasks efficiently.
Essential Duties & Responsibilities
- Coordinate schedules and maintain calendars; keep abreast of organizational activities and schedules of other senior leaders
- Manage calendars, schedule appointments, and coordinate meetings, both internal and external, ensuring any relevant documentation and information are provided in advance
- Liaise with internal and external stakeholders to schedule meetings, resolve conflicts, and ensure effective communication
- Prepare and edit correspondence, presentations, reports, and other documents as required, maintaining accuracy and confidentiality
- Arrange travel itineraries, accommodation, and logistics for business trips, ensuring all arrangements are seamless and efficient
- Host events and coordinate logistics for meetings, including booking venues, arranging catering, and organizing equipment, and facilitation of VIP guests as needed
- Maintain contacts, files, databases, and organizational information for executives
- Produce scheduled and ad hoc reports
- Process expense reports and invoices
- Build strong relationships with internal and external stakeholders
- Coordinate executives’ participation in industry events
- Provide office management support as needed
- Serve as liaison with key resources for decks, sales tools, presentations, and other interdepartmental communications and objectives
- Participate in business initiatives as time permits
- Other duties as assigned
- Proven experience as an Executive Assistant or similar role, supporting C-level executives
- Ability to successfully support multiple executives and manage competing priorities seamlessly
- Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy, ensuring high-quality deliverables
- Excellent written and verbal communication skills, with the ability to produce effective content and interact with individuals at all levels
- Expert level skill in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive, Drop Box) and other relevant software.
- Ability to handle confidential and sensitive information with discretion and maintain a high level of professionalism
- Demonstrated problem-solving skills with a creative, flexible, and resourceful approach
- Outstanding decision-making skills and the ability to think critically in a fast-paced environment
- Flexibility and adaptability to changing priorities and responsibilities
- Exceptional interpersonal and collaboration skills; ability to charismatically manage cross-functional relationships in and outside of the organization
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
