Executive Personal Assistant
Seeking a dynamic, experienced, detail-oriented, driven, calm individual with a passion for precision to serve as an Executive Personal Assistant to the Managing Director of a Lifestyle Consulting firm. The right candidate will bring energy, integrity, accuracy, and discipline to their role and enjoy a fast-paced and evolving environment. The position requires uncompromising discretion and professionalism.
The EPA will report to the Managing Director in their administrative duties and work amongst a dynamic client group with fluid workstreams. The successful candidate will demonstrate poise under pressure, take direction with grace, be driven by fluid communications and operations. Of paramount importance is the personality and cultural fit of the successful candidate. Core Responsibiliites
- Support the MD, on all aspects of business and personal administration.
- Demonstrate a high degree of professionalism, polish, organizational skills, attention to detail, and agility as well as a deep respect for confidentiality and privacy
- Provide support to the MDr on calendaring efforts
- Develop and maintain the MD's contact and relationship management systems
- Assist with mail and packages as needed
- Assist with travel coordination as needed
- Assist with special projects and events as needed
- Assist the MD with research on research projects to build knowledge on specific topics
Purchasing
- Assist MD with purchasing of personal items
- Monitor shipping, receiving, and inventory of purchases
Gifting
- Manage annual gifting on behalf of the company
- Sourcing, tracking, and reporting of all gifting activities
- Thank you notes, and record keeping of gift receiving
- Maintain mailing addresses, shipping and receiving of incoming and outgoing gifts
Briefings
- Research and documentation on individuals, brands, or projects
- Preparation of briefing documents in support of upcoming meetings or events
Qualifications & Skills
- 3-5 years of experience supporting a founder, CEO, or Director with extremely high standards
- BA/BS degree preferred
- Highly organized with strong time management skills and the ability to handle multiple concurrent assignments and competing priorities with a high degree of accuracy to meet deadlines promptly.
- Ability to think and operate independently with minimal direction. Able to anticipate the Principal’s needs and proactively suggest solutions.
- High emotional intelligence and trustworthiness with a growth mindset and desire to continuously learn and improve. Positive attitude with a ‘no task too big or too small mentality.
- Exceptional verbal and written communication skills with maniacal attention to detail and accuracy.
- Strong project management skills and ability to solve issues, including identifying the issue, planning the steps to solve the issue, and implementation of such steps to completion.
- Respect for, and emphasis on, confidentiality and privacy in regards to the MD and clients private life. And the ability to handle sensitive matters with the utmost discretion and confidentiality.
- Top-rate professionalism with a customer service mindset and the utmost respect when interacting with both internal and external parties.
- Proficient in cloud-based project management software including but not limited to G-Suite, Notion, and 1Password.
