This is a unique position for a highly organized team player interested in a long-term ‘back-of-house’ support role for our Operations Manager. This person will be comfortable working with a high degree of attention to detail, varying responsibilities, and MUST remain flexible as daily priorities change based on many external factors. Familiarity with the solar and renewable energy space is a plus, but not required.
Responsibilities
- Responsible for calendar management, meeting logistics and preparation, document preparation, expense reporting, travel accommodations, and miscellaneous administrative functions as needed
- Track, monitor, and guide progress of projects and action items to ensure they remain on course
- Keep the OM well-informed of upcoming commitments and responsibilities, following up appropriately.
- Manage all incoming information, including high-volume emails. Read, remember, sort, and ensure the OM is informed of important and time-sensitive emails. Organize emails in a timely and organized manner to ensure all are addressed
- Draft, review and send communications on behalf of OM
- Control certain access to OM
- Act as a liaison for OM’s direct reports, staff, and other company executives as necessary
- Help to ensure that company and team goals and objectives are accomplished, and that operations run efficiently
- Handle sensitive situations with professionalism, confidentiality, and good judgment
Required Skills & Qualifications
- BA / BS degree or 1-3 years professional experience
- A fast learner who is quick on the pick up and capable of anticipating what is needed in advance
- Eager and comfortable asking questions, can take the initiative to research new topics, and apply learnings skillfully; you approach everyday problems with innovative and creative solutions
- Excellent written and verbal communication skills
- Comfortability making phone calls with clients and companies regularly
- Strong time-management skills
- Ability to juggle multiple priorities
- Effective critical thinking and decision making skills
- Easily adaptable to changes of plans, timelines, tasks
- Proficiency with office productivity tools and an aptitude for learning new software and systems, including but not limited to CRMs, Microsoft Office, Google Workspace, and Sharefile
- Fluency in Spanish preferred, but not required
