The Executive Assistant will provide administrative support and logistics management for the Office of Development Operations and the Site Engagement and Feasibility function, ensuring seamless operational flow. This role involves proactively managing calendars, providing scheduling support, and coordinating both internal and external meetings with a high level of efficiency and attention to detail, including clear communication regarding conflicts and the need for re-prioritization. Additionally, responsibilities include managing domestic and international travel arrangements and preparing expense reports. The role also requires providing on-site support for various events, coordination of meetings, and administrative tasks as needed, demonstrating flexibility and a commitment to excellence.
Responsibilities
- General administrative and project support to Office of Development Operations and Site Engagement and Feasibility function
- Organize, maintain, and update meeting calendars and provide scheduling support
- Plan and organize department meetings, ensuring logistics and materials are prepared (internal and external meetings)
- Executive expense management activities
- Complete domestic and global travel coordination tasks
- Support onboarding and offboarding activities for team members within the department
- Request purchase order numbers through corporate process/follow-up on invoices as needed
- Create vendor agreements and facilitate contracting process
- Manage filing and archiving of department/project-related material, ensuring the maintenance of department files and proper submission of approval forms
- Complete tasks in creative and effective ways requiring considerable judgment and initiative
- Understand implications of work and make recommendations for solutions
- Function as coverage for other administrative support personnel
- Participate in various projects as required
Requirements
- High school diploma required. Associate’s or Bachelor's degree preferred
- 3-5 years of experience in a multi-disciplinary environment, preferably at a global pharmaceutical or biotechnology company
- Proficiency with MS Office suite (e.g., Outlook, Word, Excel, PowerPoint, SharePoint, Teams, Forms)
- Must be comfortable working with new technologies and software programs, including web-based and digital communications tools
- Professional certifications are a plus (e.g., administrative professional, Microsoft Office, meeting planning)
- Excellent stakeholder management skills and comfort level interacting with various levels of management and communicating in a cross-disciplinary and international team
- Ability to work successfully under pressure in a fast-paced environment and with tight timelines
- Ability to multitask, prioritize and execute tasks independently
- Solid attention to detail, quick learner, and have the willingness to learn
