Education/Experience Requirements:
High School Diploma or equivalent
Prefer a degree in Business or Secretarial Administration; however a combination of high school, vocational school, college and/or experience may be substituted
Minimum 3 years proven experience as an Executive/Administrative Assistant in a professional environment
Previous leadership responsibilities (work or community) preferred
Previous experience working with a Board of Directors (assembling board packets, taking meeting minutes, etc.)
Must be able to communicate effectively in English
Knowledge/Skills/Abilities:
Excellent knowledge of MS Office (Word, Excel, Power Point), intranet, email and multi-media files
Strong typing skills with a speed of 60 wpm
Exercises good judgement and strong critical thinking skills to make sound, well-informed decisions
Actively seeks opportunities to make a contribution rather than passively accepting assignments. Seeks solutions to problems before being asked or directed
Behaves in an ethical manner at all times, keeping information confidential
Excellent communication skills, both oral and written

Duties and Responsibilities:
Enhances the effectiveness of assigned members of the senior leadership team by performing Executive Assistant duties as assigned
Interfaces with the medical staff, Board of Directors, United Regional employees and the public on behalf of the CEO and other members of the Senior Leadership Team, ensuring professional representation at all times
Leads by example and demonstrates our passion for excellence
Provides leadership and coordination with other Administrative Assistants, ensuring open communication, department coverage, clear expectations and efficient/effective work processes
Assists with planning, scheduling and coordinating day to day work activities; including scheduling of Senior Leadership Team calendars. Ensures checklists and reminders are in place to help prepare senior leaders for upcoming meetings
Uses judgement and strong critical thinking skills to help prioritize workload and manage the events of the workday
Anticipates issues before they arise and proactively seeks to find solutions
Assists in turning data into information by thorough analysis and preparation of meaningful reports
Coordinates and arranges for hospital meetings by sending notice of meetings, preparing agenda and materials, attending meetings, recording minutes and keeping appropriate documentation
Assist with creating professional and engaging power point presentations
Assists in drafting/proofing letters and documents with close attention to detail, and ensuring communication style is appropriate for United Regional’s organizational culture
Screens, directs and redirects incoming calls, using judgment and discretion. Manages and/or refers physician concerns, patient concerns, and miscellaneous complaints
