Job Summary
The Executive Assistant is responsible for providing executive level support to the Beaver Creek Resort COO and the senior leadership team in planning and overseeing the resort’s goals, projects, initiatives and meetings. This is a facilitative role that requires a combination of initiative, focus, and flexibility, as well as commitment to completing a wide variety of tasks and projects independently with strong attention to detail and follow-through. The primary goal of the Executive Assistant is to anticipate the needs of the COO, with an understanding of his schedule and priorities, allowing him to maximize his time and focus. The role also has a particular focus on project management providing oversight to deliver on the resort’s goals and top priorities. The role requires a highly motivated and resourceful individual with strong learning agility, emotional intelligence, self-motivation, integrity, and curiosity.

Job Responsibilities:
- Demonstrate the desire and passion to learn and develop, particularly showing an ability to lead through influence.
- Act as a sounding-board, ask strategic and challenging questions, and provide an independent perspective on resort efforts.
- Instill a very high level of trust from the COO and SLT in confidentiality and discretion with executive-level communication. Exhibit strong judgment in handling sensitive information.
- Inspire trust and build strong, positive, productive relationships with key stakeholders to facilitate alignment with the COO.
- Lead and organize efforts to plan and develop key COO Led events to achieve desired outcomes (e.g., management and leadership meetings, off-sites, guest activations etc.). Facilitate and manage the definition of agendas, materials, review cycles, timelines, etc.
- Lead and organize COO-led or Street Team employee activations to help create desired resort culture.
- Prioritize and adapt in a constantly changing business setting.
- Develop and manage the plans for smaller initiatives that require cross-functional input.
- Strong learning agility who enjoys and excels in environments where they must tackle and solve new and increasingly complex strategic business challenges and issues.
- Demonstrate an unyielding passion for the guest experience, culture, mission and vision. Lead by example and inspire others to follow.
- Must be highly proficient in using company’s administrative software for communications, scheduling, document production, presentations, spreadsheets and any other tasks/applications that may become necessary to support the COO. Most heavily utilized software includes: MS Word, Outlook, PowerPoint, Teams, Excel, Coupa, Concur, Planful, SmartSheets and RPOS/Mtn Money.
- Schedule, plan and attend meetings, prepare notes and follow up on action items.
- Manage the calendar, travel plans, and expenses of the COO. Oversee multiple calendars, schedules and facility bookings.
- Send resort-wide communication on behalf of the COO of upcoming commitments and responsibilities.
- Support resort training programs, communication plans and management outreach.
- Provide budgeting support, as it applies to the COO’s accounts.
- Assist with planning and coordination of VIP guests and company events as needed.
- Onboard & assist in training new office staff on VR process, policy and procedure.
- Principal creator of Mountain Money for the resort.
- Purchase, manage and maintain Administrative Office supplies and machines.
- Demonstrate willingness and ability to support all front line operations during high volume time periods, as needed.
- Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, stress management, reliability, change adaptability and accountability.
- Exhibit flexibility, as well as the ability to work under time sensitive deadlines and changing priorities with accuracy, dependability and a positive attitude.
- Prioritize and manage multiple assignments. Act as Project Manager supporting resort initiatives when needed.
- Ability to anticipate the COO’s needs. Foresee and discuss potential conflicts or risks.
- Extensive internal and external guest service, as well as community relations, including courteous, professional communication and recovery efforts.
- Assist with other tasks that may be assigned from time to time.
The expected pay range is $22.00 - $33.12. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
