Job Purpose & Position Overview:
Reporting directly to the Tribal Chairman, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant services as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Tribal Chairman. The Executive Assistant also serves as a liaison to the Winnebago Tribal Council, Department Directors, and Program Directors and oversees special projects. The ideal individual will have the ability to exercise good organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Specific Job Duties/Responsibilities:
- Demonstrates the Winnebago Tribes core mission, vision, and values.
- Completes a broad variety of administrative projects and tasks for the Tribal Chairman and members of the Tribal Council, including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential.
- Plans, coordinates, and ensures the Tribal Chairmans schedule is followed and respected.
- Manages and fields all inquiries and requests, ensuring win-win situations for direct access to the Tribal Chairmans time and office.
- Serves as the Tribal Chairmans administrative liaison to his/her direct reports and the Tribal Council and communicates directly, and on behalf of the Tribal Chairman, with direct reports and Tribal Council on matters related to Tribal Chairmans programmatic initiatives.
- Serves as office associate to Tribal Council Officers and members completing requested and required tasks as received.
- Demonstrates and maintains professionalism and a high level of customer service with all interactions and matters in relation to the position.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Tribal Chairman, including those of a sensitive or confidential nature and determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the Tribal Chairmans office, CEOs office and internal departments; demonstrating leadership to maintain credibility, trust and support to all.
- Works closely and effectively with the Tribal Chairman to keep his/her/ well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, having a sense for the issues taking place in the environment and keeping the Tribal Chairman updated.
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Tribal Chairman, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting various documents, personal correspondences, and other tasks that facilitate the Tribal Chairmans ability to effectively lead the organization.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Organize and maintain all filing systems as required and ensures historical reference by developing and utilizing filing and retrieval systems.
- Oversee and manage all matters of committees and boards under the WTN umbrella ensuring compliance with applicable rules and regulations set in bylaws regarding all board and committee matters and, including advance distribution of materials before meetings.
- Assists in coordinating and preparing the agenda and all related information of Tribal Council meetings and events, drafting, and preparing documents for or as a result of Tribal Council action.
- Follows up on contacts made by the Tribal Chairman and supports the cultivation of ongoing relationships.
- Supervises the front receptionist personnel and ensures the highest level of customer services is provided.
- Maintains high ethical standards and conduct; and protects the organization by keeping information confidential.
- Computer literacy is vital to the role, as is the ability to train and direct others.

- Associates degree in an area of Business, Accounting, or other related field is required.
- Strong work tenure: three to five years of experience supporting Executive level positions.
- Experience and interest in internal and external communications, project management, and tribal organizations.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Demonstrate proactive approaches to problem-solving with strong decision-making capability.
- Emotional maturity.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Advanced in Microsoft Office (Outlook, Word, Excel, Access, and Power Point), and Adobe Acrobat
- Proficient level written and verbal communication skills.
- Proficient in Martus and Intacct software
- High proficiency in Microsoft Office Suite and other related systems.
- May be required to work extended/irregular hours without advance notice, including evenings, weekends, and holidays.
- Normal to light office work which includes the ability to lift up to 10 lbs.
- Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.
