This position supports the vision and goals of HHT by providing administrative support to the Senior Vice President, Finance.
What you will do:
- Proactively prioritize and maintain daily calendars.
- Proactively manage work flow through departments and teams in order to hit deadlines.
- Review, assess, interpret, evaluate and work toward solution of issues, questions, etc. prior to reaching leaders.
- Advanced document production; data gathering, layout and presentation.
- Coordinate, manage and arrange travel and travel-related activities including hotel booking and transportation using the company travel interface.
- Accompany leaders to meetings and record any notes and action items.
- Process expense reports on behalf of leaders using company interface.
- Have foresight of approaching deadlines and deliverables for the leaders and problem solve to address conflicts.
- Handle sensitive and proprietary information in a confidential manner.
- Understand the complexities of business, the business landscape within and outside the organization and all the stakeholders involved.
- Organize team communications and plan events, both internally and offsite.
- Provide backup support for other Executive Assistants.
- Work required overtime and flexible schedule to meet business needs.
Minimum Qualifications:
- High School diploma or equivalent combination of experience
- 5 or more years of administrative experience supporting senior management level
- Advanced computer skills, including familiarity with Windows, Microsoft Office 365, OneDrive, SharePoint, MS Teams, Salesforce, and accurate typing and data entry skills
- Advanced Outlook calendar and email management skills
- Strong decision making skills
- Consistent, process driven approach with regard to deliverables and action items
- Accuracy of information provided and maintained
- Understand and maintain confidential information
- Deadline attainment
- Excellent verbal and written communication skills
- Handle stress with a positive attitude
- Ability to multi-task effectively; provide prompt and appropriate follow up
