Position Summary:
We’re hiring an impeccable Administrative and Personal Assistant to manage our CEOs day-to-day. This role is critical in managing the daily tasks and creating organizational processes that ensure the company runs. This person will serve as a trustworthy gatekeeper, ensuring the Owner has what she needs to succeed. The right candidate will be proactive, display high professional judgment, accuracy, and attention to deal. There is a strong focus on financial acumen and general bookkeeping, general knowledge is acceptable but a desire to learn is a must. Considering the access to personal and confidential information, discretion and diplomacy are required at all times. This position is primarily a remote role but must be located within driving distance to Upstate New York for in person as needed.
Job Functions:
- Manage day-to-day calendar and schedule daily appointments
- Fielding, prioritizing, and responding to a large volume of information requests and emails.
- Review and track vendors for all businesses, keep information organized in Excel.
- Manage time sensitive payments and documents such as Sales Tax and Insurance.
- Coordinating and overseeing domestic travel arrangements for CEO + Family
- Daily and weekly basic Quickbooks update and bill pay. Monthly Reconciling.
- Oversee basic supply orders and marketing collateral orders.
- Payroll verification and run.
- Planning meetings and event coordination with team.
- Personal appointments for family and household, any personal errands
- Sort through physical mail as needed and work to get the company digitized
- Maintain Google Drive
- Prepare and edit documents, powerpoints
Job Requirements:

- Exceptional attention to detail, accuracy, and ability to multi-task
- Deadline-driven and strong follow-through
- Excellent verbal and written communication providing regular status of projects/workload
- Confidentiality and discretion at all times
- Self-starter and proactive problem-solving skills
- Ability to work independently and as a team when needed
- Strong skills in Microsoft Office, Apple Products, Basic Quickbooks.
- Experience as an Executive or Administrative Assistant a must.
