As the Executive Assistant you will provides high-level administrative support directly to the business unit leader, his executive leadership team, and Business Unit (BU) at-large. Additionally, you will complete a broad variety of administrative tasks including: managing the calendar of the leader; completing expense reports; composing and preparing correspondence that is sometimes highly confidential; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Every day, you will coordinates document and contract signatures with local business administrators, distribute mail and assist with outgoing mail. You will also provide a bridge for smooth communication between the leader office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Organize and support international visits from overseas ENGIE Top Executives and ENGIE North America Executive Committee members
- Organize staff meetings, ad-hoc office events and employee offsite
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Support the field travel of the leader and arranges his stakeholder events
- Coordinate document and contract signatures with local business administrators, distribute mail and assist with outgoing mail
- Prepare executive briefings and facilitates content for presentations
- Maintain departmental documentation such as the organizational charts and mailing lists
- Submit requests for office equipment/software and office moves
- Researche, prioritize, and follow up on incoming issues and concerns addressed to the leader, including those of a sensitive or confidential nature
- Determine appropriate course of action, referral, or response.
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
What You'll Bring
- High School Degree required
- A minimum of five (5) years of previous administrative experience with a minimum of two years of experience supporting C-Level executives
- Expert in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Concur
- Excellent organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Proven ability to handle confidential information with discretion be adaptable to various competing demands, and demonstrated the highest level of customer service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
- Ability to work under pressure handling a wide variety of activities and confidential matters with discretion

Compensation
Salary Range: $62,400 - $95,450 USD annually
This represents the average expected pay range for a qualified candidate.
Actual offered salary may depend on geography, experience, industry knowledge, education, internal pay alignment, or other bona fide factors.

In addition to base pay, this position is eligible for a competitive bonus / incentive plan.
