PACE Supply is actively seeking an Executive Assistant to provide dedicated support to our company President. In this role, you'll play a pivotal part in managing a diverse range of administrative and executive support tasks, contributing to the optimization of our executives' effectiveness and overall operational efficiency.
As a successful Executive Assistant, you will collaborate closely with external stakeholders, administrative staff, and the leadership team. Your role will be instrumental in meeting the evolving demands of our President as PACE Supply continues to experience growth. Operating in a collaborative work environment, your resourcefulness, organizational skills, flexibility, and warm, proactive approach will be key in identifying and resolving both current and anticipated challenges.
This posiiton is based on-site at our Corporate Office in Rohnert Park, CA (Headquarters).

- Manage the President's calendar, schedule appointments, and coordinate meetings.
- Prepare and assist in developing reports and correspondence.
- Prepare materials and design slide decks for Executive Team meetings.
- Manage and schedule travel arrangements and itineraries.
- Anticipate the President’s needs and proactively address them.
- Act as a primary point of contact between the President and internal/external stakeholders.
- Screen and manage emails and phone calls, ensuring important matters are addressed promptly.
- Maintain and organize confidential documents, records, and files.
- Arrange and coordinate executive meetings, conferences, and events.
- Prepare agendas, take meeting minutes, and ensure follow-up actions are completed.
- Collaborate with other departments to ensure smooth communication and execution.
- Manage the President's office, ensuring it is organized and well-maintained.
- Order and manage office supplies.
- Manage travel and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders.
- Oversee special projects as assigned by the President.
- Assist in various company projects, research, and strategic initiatives.
- Provide support in tracking project milestones and deadlines.
- Assist with project documentation and reporting.
- High school diploma, GED, or equivalent work experience.
- Minimum 3 years (5 or more preferred) of experience supporting a company President.
- Strong project management and problem-solving skills with impeccable ability to manage multiple projects in a fast-paced and time-sensitive environment.
- Exceptional customer service, administrative, and organizational skills.
- Excellent written and verbal communication skills.
- Intermediate Microsoft Office Software Proficiency (PowerPoint and Excel) with an ability to learn and use PACE specific programs and software.
- Travel coordination (multi-leg, international & domestic. Private and commercial).

Work Environment
Physical Requirements:
- The employee is frequently required to stand, walk, reach with hands and arms, and talk or hear.
- Occasionally, the employee is required to use hands to finger, handle, or feel; climb or balance; and stoop, kneel, crouch, or crawl.
- Ability to lift items that weigh up to 15 lbs. regularly. This includes carrying, dragging, and walking with materials, as well as using a hand-truck.
- Prolonged periods of standing or sitting at a desk and working on a computer.
- Specific vision abilities required for this job include distance vision, peripheral vision, and depth perception.
Environmental Conditions:
- The employee is frequently exposed to moving mechanical parts and outside weather conditions.
- Occasionally, the employee may be exposed to high, precarious places and vibration.
- The noise level in the work environment is usually moderate.
