The Broad is an internationally renowned contemporary art museum founded by philanthropists Eli and Edythe Broad on Grand Avenue in downtown Los Angeles. Designed by Diller Scofidio + Renfro in collaboration with Gensler, the museum offers free general admission. The Broad is home to the 2,000 works of art in the Broad Collection, which is among the most prominent holdings of postwar and contemporary art worldwide and presents an active program of rotating temporary exhibitions and innovative audience engagement. The 120,000-square-foot building features two floors of gallery space and is the headquarters of The Broad Art Foundation’s worldwide lending library, which has actively loaned collection works to museums around the world since 1984. Since opening in September 2015, The Broad has welcomed more than 4 million visitors, and has one of the youngest, most diverse audiences of any museum in the country.
ABOUT THE POSITION
The Executive Assistant provides high-level administrative support to the museum’s Founding Director, working collaboratively with all levels of management and staff, and liaising with artists, art galleries, peer institutions, The Broad’s board of directors, outside contractors, vendors, and VIP visitors. Administrative work includes managing appointments, arranging all business travel for the director, supporting the process of art acquisitions with art market and collection research, completing expense reports, and maintaining a fully updated calendar. Within The Broad’s dynamic work environment, the Executive Assistant handles a high volume of correspondence, creating presentations for meetings including board meetings, and processing contributions and documents on behalf of The Broad Art Foundation.
DUTIES AND RESPONSIBILITIES
Provide high-level administrative support -- anticipating, identifying, and addressing the needs of the director and executing solutions to those needs in a timely manner
Coordinate the director’s schedule, ensuring that meetings, deadlines, presentations and other duties are organized and carried out seamlessly
Create and manage director’s travel itineraries, accommodations, and related transportation
Provide curatorial assistance for artwork and art market research supporting the Founding Director’s work on acquisitions and programming;
Track and research artwork acquisitions, offerings and referrals (e.g. via galleries or auction houses)
Track gallery and art fair calendars as well as invitations, previews, and events
Monitor peer museum programming and events as they relate to The Broad and assist with maintaining institutional awareness of such events and exhibitions
Manage select invoices, reports, memos, letters, financial compliance and other documents, using word processing, spreadsheet, database, or presentation software
As needed, conduct research, compile data, and prepare papers for consideration and presentation by the Director to committees and boards Support board meeting administration and logistics.
Maintain and develop Broad relationships with collection and exhibition artists through continued correspondence, and outreach
Greet and guide select VIP visitors or groups, including key museum constituents such as corporate sponsors, when required, or on behalf of the Founding Director
Perform additional duties as assigned.
EXPERIENCE AND QUALIFICATIONSProven experience as an Executive Assistant or other relevant administrative support experience
In-depth understanding of entire MS Office suite
Exceptional ability to proactively and successfully organize, plan, prioritize, and manage multiple priorities, often on short deadlines; able to work within a dynamic and nimble environment
Meticulous attention to detail
Excellent written and verbal communication skills with exceptional ability to interact diplomatically, efficiently, and effectively with a wide range of constituents, both externally and internally
Professional, discreet, and mature demeanor with the capacity to communicate effectively with leading figures in the art market and the museum world
Knowledge of 20th/21st century art, a B.A. or M.A. in art history or museum studies preferred, and/or professional experience in the arts field
Knowledge of local, national, and international arts patrons, funders, leaders, professionals, dealers and artists, or proven aptitude for comprehending quickly and operating within a complex network of high-level stakeholders
Prior art museum experience and knowledge of museum operations, standards, practices, and procedures preferred
Prior knowledge of the contemporary art market, its calendar of events and major artists relevant to The Broad collection also preferred
Fluency in foreign languages is a plus

PHYSICAL REQUIREMENTSSitting most of the time with some bending and reaching and occasionally lifting office supplies. Standing, walking, and bending periodically. Engaging in repetitive movements of wrists, hands, and fingers – typing and/or writing.

Full-time, Monday through Friday. Working hours are from 9am-6pm. Must be available for occasional special events on evenings or weekends. Given the museum’s mission as a public venue and the nature of its director’s work, the EA will be required to work onsite frequently.
COMPENSATION AND BENEFITS
Salary for the position is $85,000 to $95,000 per year.
