Job Summary: Talent Software Services is in search of an Executive Administrative Manager for a contract position in Palo Alto, CA. Opportunity will be three months with a strong chance for a longterm extension.
Primary Responsibilities/Accountabilities:
- Proactively and independently plan and schedule meetings, conferences, teleconferences, and travel for the Senior Associate Dean's complex calendar.
- Resolve calendaring conflicts while keeping the Senior Associate Dean apprised of changes to the calendar.
- Use high-level reasoning skills to establish daily priorities, including reviewing the Senior Associate Dean's calendar and rescheduling meetings.
- Prioritize tasks and coordinate among other staff supporting the Senior Associate Dean.
- Set meeting agendas, brief the Senior Associate Dean on meeting topics, and coordinate and keep meetings focused.
- Take notes in meetings and assume responsibility for completion of action items.
- Draft, review, and edit letters, emails, reports, PowerPoint presentations, and other correspondence on behalf of the Senior Associate Dean.
- Plan and book complex domestic and international business travel ensuring that proper policy guidelines are followed.
- Read, research, and route correspondence as requested.
- Keep the Senior Associate Dean apprised of follow-up that requires her attention.
- Maintain spreadsheets of Letters of Support, including tracking the dollars committed by the Dean for SoM.
- Reconcile travel expenses via T-Card or P-Card and process expense reimbursements on behalf of the Senior Associate Dean.
- Follow-up on action items from the Academic Senate, Provost Luncheons, and Research Advisory Committee meetings.
