Duties and Responsibilities:
Under the direct supervision of the Events Coordinator, the Event Admin Assistant will be responsible for:
- Being onsite during private and community events on Saturday days and evenings.
- Maintaining the rules and regulations of the facility as set in host contracts with hosts/guests.
- Ensuring the safety of Liberty Community Plaza building and property.
- Communicating with hosts on any required updates throughout their event and answering any questions that may arise.
- Ensuring that event security is in attendance (if required) and is conducting the appropriate measures to secure guests and facility.
- Communicating end of event timing and clean up requirements with hosts.
- Conducting an end of event checklist with contract holders to ensure no damage to the building occurred and reviewing deposit status based on the final walk-through.
- Be well versed in all emergency protocols and essential building contacts.
- Assist Community Partnerships Department with certain aspects of room reservations as directed which include but are not limited to: answering inquiry questions, giving facility tours, applications and supplemental documentation, follow-up with clients, confirming reservations, maintaining upkeep of all equipment and furniture, coordinating cleaning schedule, incident reports, supervise events, aid in maintaining the upkeep of the building, and archive all reservations & communications.
- Act as a support and provide weekly updates and overviews of events and room reservations.
- Act as a liaison of HYC/LCP to community members, organizations, and county departments.
- Act as an ambassador of HYC/LCP and all programs, community resources, and events put on by the agency.
- Attend and/or partake in assigned meetings, trainings, and community events as requested.
- Assist the Events Coordinator in duties as requested.
- Maintain accurate and timely documentation of job-related activities.
- Other duties as assigned.
Requirements:
- Minimum one year of work experience in customer service and/or events.
- Bilingual in English and Spanish.
- Organized and punctual self-starter who is easily able to work independently as well as within a team.
- Excellent oral and written communication skills.
- Microsoft Outlook proficient.
- Dependable and efficient.
- Willingness to work a flexible schedule (Must be available Saturday evenings and occasional Saturday days)
- U.S. Citizenship or permanent resident status.
- Ability to pass background check and criminal clearance.
- Valid CA drivers license, current auto insurance, and good driving record.
