Event Venue and Group Sales Coordinator
Non-Exempt, Full-Time
Job Summary:
The museum seeks an Event & Sales Coordinator to join our dynamic team to schedule, plan and execute private events from start to finish. This is an entry to mid-level position in Event Management and Sales. Reporting to the Manager of Private Events and Group Sales, the Coordinator will be responsible for logistical tasks in relation to events held at the museum, coordination of non- school group tours and assisting with museum events as needed.

Event Coordination
Acts as primary museum contact for assigned events serving as point-of-contact throughout the event including event set-up and breakdown.
- Coordinates with outside contractors and internal departments while ensuring the protection of Museum exhibits and displays.
- Responsible for ensuring the operational needs of clients are met by mobilizing the necessary internal resources to properly set-up, operate and close out assigned event.
- Works proactively with on-site caterer to provide seamless execution and ensure contractual obligations are met.
- Ensures that rental space and audio visual equipment has been inspected and ready for use on designated event/program day. Assists and coordinates with museum's IT/TECH department to ensure proper maintenance of equipment and reports any issues.
- Advises clients on operation procedures, policies rules and regulations of museum as it relates to their event.
Event Administration
Maintains documentation of all contracts and correspondence related to accounts.- Maintains event and Group Sales database including preparing, reviewing and completing final payments and invoicing.
- Creates and maintains drawings and set-up forms for internal and private events.
- Prepares and distributes to client and internal museum departments, in a timely manner, event documents detailing all information required for execution of the event. Accurately inputs and updates all information to the account and distributes it to internal departments as needed.
- Prepares post-event evaluations and updates all pertinent information into computer database/files.
Event/Group Sales
Works with Manager to reach department sales revenue goals by conducting gallery tours, telephone and email correspondence.
- Assist with planning and executing content marketing strategy for private events via social media sites.
- Responds to client inquiries by providing information or directing inquiry to appropriate internal department.
- Sells event space within social, corporate, wedding markets.
- Coordinates non-school group tours and helps create meaningful group experiences.
- Performs related duties as assigned by Manager.
Education and/or Experience
Associates degree, three to five years of related experience and/or training. A minimum of two years' experience in a highly visible customer service related position, preferably front-line hospitality experience or significant contact with customers or visitors.
- Proficient knowledge of Microsoft Office products including Word, Excel, and PowerPoint. Experience working with CRM databases, and Altru by Blackbaud helpful.
- Excellent problem solving and decision making skills
- Excellent written and verbal communication skills
