About Us
LevelUp Pickleball Camps (2016) is the largest travel instructional program in the sport of pickleball. Nine full-time teaching pros and 40 assistant pros travel to 35 states and teach 225 two-day camps to adults per year.
About the Job
LevelUp is looking to hire a Camp Coordinator to work with the pros and paid “campers” across the 225 camps. The Coordinator must have the following skills: Attention to detail, organization, time-management, communication (verbal and written), follow-up, and basic understanding of Microsoft Office Suite (Word, Excel, Outlook).
A Day on the Job
The Camp Coordinator will show up by 9 am (Monday thru Friday) and begin the day by registering in Excel any new campers who enrolled for camps the prior night. The new “spots available” should then be cross-referenced with those listed on the web site, to ensure accuracy.
The Camp Coordinator will then answer any voice or email communications from the prior night. If cancellations are requested by a camper, the Coordinator needs to confirm with the camper, process the refund, and update the “spots available” on the web site. If a camper wishes to reschedule, the Coordinator needs to communicate with the camper to move them to the proper camp.
Next, the Camp Coordinator will send emails to those people participating in our camps with reminders and additional information. These emails are sent a month, two weeks, and one week prior to camp.
With the remainder of the day, the Coordinator needs to communicate with venues hosting upcoming camps to ensure that everything is ready for camp. This includes providing payment for rented courts, ensuring that the proper number of courts are booked, gathering any logistical information needed for the pros and campers, and requesting anything that is needed before camp.
Throughout the latter half of the day, the Coordinator will continue registering new campers and answering questions via phone, email, website and text. This occupies 2/3 of the job.
Additional Responsibilities
- September through December – the Coordinator will call our existing camp venues to reserve camps in 2025. The coordinator will maintain good communications with the venues, sign rental contracts, pay rental invoices and supply our insurance certificate when requested.
- The Coordinator must input dates and locations into a flier template created by our in-house Graphic Designer. These fliers should be sent out to venues so that they can help with camp promotion.
- The Camp Coordinator will communicate by email, text, and cell with the pros teaching in the camps to make sure they have the location and start time details.
- The Camp Coordinator will update any new or altered camp dates and information on the web site.
- The Camp Coordinator will book new venues as requested.
- The Camp Coordinator will send out email blasts to campers, as required, to boost attendance.
- The Camp Coordinator will coordinate with assistant pros to make sure each camp has enough people teaching.
- The Camp Coordinator will find shipping addresses for the Shipping Manager to get camp materials to each venue.
- The Camp Coordinator will coordinate with pros, campers, and venues when there is inclement weather during an outdoor camp to find alternatives that allow camp to continue as planned.
