General Purpose: Presents an optimistic and unforgettably positive impression to our Members and Guests, exuding the genuine warmth of the Club by serving welcoming and efficient hospitality.
Responsible for providing administrative support to the Events Department. Support the Director of Food & Beverage and other managers in day-to-day operations. You will be responsible for planning and executing a wide range of events, from conferences to social gatherings.
ESSENTIAL DUTIES

- Reports to work and clocks in/out for scheduled shifts and meal and rest breaks on time and in complete and proper uniform.
- Enthusiastically interact with guests and respond promptly to ensure that the client’s requirements and expectations are met.
- Promptly answers telephone calls and emails in a sincerely hospitable manner. Communicates information accurately and efficiently to the manager. Assists the Food & Beverage Division with making reservations for the restaurant in addition to private events.
- Prepare detailed and accurate written correspondence to internal departments and external clients, including emails, letters, contracts, reports, banquet event orders, schedule of events, printed menus, and more.
- Serve as a liaison between clients and operational departments as necessary (resume, banquet event orders, etc.)
- Serve as a point of contact for clients and vendors or acting as a liaison between the Food & Beverage Managers and clients throughout the event process (pre-event, event, post-event). Distributes event correspondence to operating departments, resume, event orders, change log, etc.
- Operate and maintain a variety of electronic and manual office resources, including but not limited to printers, copy machines, supply ordering systems, supply organization, and more.
- Maintain event system accounts, including creating and updating bookings, manipulating events in the function diary, and preparation of banquet event orders.
- Attend appropriate department and club meetings and prepare appropriate reports needed.
- Facilitate all In House & Programming Event details.
- Responsible for detailing upcoming functions, assisting with small changes, requests, and paperwork for managers.
- Provide operational direction on day of event, when necessary.
- Complies with all food and beverage regulations.
- Adhere to guidelines and policies outlined in the employee handbook.
- Performs other duties as assigned.
QUALIFICATIONS & SKILLS
- High level of professionalism and attention to detail
- Excellent verbal communication and organizational skills
- Basic Knowledge of Event Booking Systems
- Problem solving, reasoning, and “thinking out of the box”; ability to apply common sense understanding to better serve our internal and external guests’ needs
- Ability to handle guest complaints and resolve them to satisfactory results
- Ability to read, comprehend, and abide by the rules of the Employee Handbook
- Ability to maintain personal grooming in compliance with appearance standards
EXPERIENCE & EDUCATION
- Minimum one year in event coordination
- Diploma/College/Bachelor’s Degree or a relevant field of work or an equivalent combination of education and work-related experience
- Basic knowledge of food and beverage operations

Pay: $28.00 - $30.00 per hour
