Event & Conference Content Specialist
Location; Santa Clara, CA
JOB DESCRIPTION
- Provide essential support to the TA & Inclusion team for events and conferences. Coordinate various aspects related to events, conferences, and content creation.
- Event and Conference Logistics:
- Collaborate with event organizers and internal stakeholders to plan and execute logistics for employee attendance at events and conferences.
- Partner with Inclusion Network Event / Conference Chairs & Associate I&D Program Manager to select attendees.
- Partner with the Travel Program Manager to book travel, accommodation, and transportation for employees attending off-site events at the most efficient cost to I&D.
- Coordinate event registrations, badge collection, and other administrative tasks.
- Ensure timely communication of event details and logistics to attendees.
- Content Creation Support:
- Work closely with content creators (such as marketing, communications, or creative teams) to facilitate content production.
- Assist in organizing photo / video shoots, interviews, and other content-related activities.
- Manage equipment, props, and location logistics for content creation.
- Coordinate schedules and deadlines to ensure timely content delivery.
- Inventory Management:
- Maintain an inventory of event-related materials (banners, swag, brochures) and ensure their availability for events.
- Track and manage equipment used for content creation including cameras, lighting, and microphones.
- Communication and Coordination:
- Liaise with internal departments (HR, marketing, communications) to gather requirements and align logistics efforts.
- Communicate logistics details to employees attending events, including travel itineraries, event schedules, and safety guidelines.
- Collaborate with external vendors (hotels, transportation services, event venues) to secure necessary resources.
- Problem-Solving and Adaptability:
- Address any logistical challenges that arise during events or content creation.
- Adapt quickly to changing circumstances and make necessary adjustments to logistics plans.
QUALIFICATIONS
- Bachelor’s degree in Event Management, Hospitality, Travel or a related field.
- Proven experience in logistics coordination, event planning, or content support.
- Experience applying a lens of inclusion and diversity to project planning and execution.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Experience in the Travel & Hospitality industry a plus.
- Experience in organizing conferences a plus.
