Change Matrix, LLC (CM) is a small, women- and minority-owned business that develops and offers tools and resources to motivate, manage, and measure change in leaders, organizations, and systems. We are seeking a full-time Event and Travel Coordinator to support Change Matrix projects.

Overview of the Position
CM is seeking an experienced, full-time competent Event and Travel Coordinator to oversee, organize, and support events that will make an impact for our clients (federal, foundation, and community based organizations). We need a coordinator who will ensure events are successful and cost-effective, paying attention to budget and time constraints. The Event and Travel Coordinator will work effectively with project team members, develop event workplans, and coordinate communication. We want to see enthusiastic candidates with fresh ideas and the organizational skills required to not leave anything about an event to chance.
Job Responsibilities
- Understand CM vision and mission and become familiar with the CM project portfolio
- Develop an understanding of the ways in which CM clients and other audiences engage in meetings and events
- Plan event from start to finish according to requirements, audience, and objectives
- Come up with suggestions to enhance the event’s success
- Prepare budgets and ensure adherence
- Source and negotiate with vendors and suppliers
- Coordinate all operations
- Lead promotional activities for the event
- Coordinate with all contractors (hotel, caterers, photographer etc.)
- Approve all aspects before the day of the event
- Ensure event is completed smoothly and step up to resolve any problems that might occur
- Analyze the event’s success and prepare reports
- Support staff and consultant travel, including the collection of all expense documentation
- Participate on weekly Communities of Learning, Being, and Doing for the entire CM staff
- Performs other related duties as assigned
Skills
- Proven experience as Event and Travel Coordinator
- Skilled in project coordination
- Computer savvy; proficient in Office 365 and project management tools
- Outstanding communication and negotiation ability
- Excellent organizational skills
- A knack for problem-solving
- Customer-service orientation
Ideal Candidate
- BSc/BA in PR, marketing, hospitality management or related field is preferred
- Three years of related experience required
- Demonstrated passion and interest that align with CM’s mission and values
- Experience in the social services sector, working with non-profit organizations, state, foundation, and federal partners
- Ability to manage multiple, simultaneous priorities
- Self-starter who takes initiative and offers innovative approaches
- Great interpersonal skills and experience supporting and working within a team environment
- Ability to communicate with and work as part of a virtual, multi-cultural team
Location and Technology
- CM is a virtual company and has team members located across the United States.
- Candidates must reside in FL, GA, NV, or TX.
- Candidates must have access to a quiet workspace that has adequate internet connectivity that supports online presentations and collaborative work.
- Change Matrix provides Mac computers for team members. In addition, $100 will be offered annually for reimbursement of technology repairs and updates.
- Change Matrix offers a $125 per month stipend to offset phone and internet charges.
Job Type: Full-time
Pay: $25.57 - $28.84 per hour
Expected hours: 40 per week
