Supports project managers through the coordination of resources, equipment, meetings, and information. Execute administrative tasks, communicate with stakeholders by fostering clear communication and collaboration across various organizational departments, manage invoices, purchase orders, and inventory reports, among other financial documents. Assist the project manager in the development and monitoring of project management deliverables such as project charters, budgets, schedules, and RAID log items. Organize and participate in stakeholder meetings, and ensure that project deadlines are met in a timely manner.
This position, with guidance from a more senior project manager, program manager, or PMO leader, may also manage lower complexity projects and/or coordinate operational endeavors with EPMO support. Responsible for the successful delivery of assigned projects, the PC collaborates with project sponsors, teams, and stakeholders to ensure timely, budget-conscious, and high-quality project delivery. This role operates within a fast-paced environment, requiring effective multitasking.
Duties include:
- Helps project managers monitor project progress and team members’ progress towards objectives and provides updates to project stakeholders.
- Coordinates project resources to ensure the project team has what’s needed at the right time.
- Organizes, attends, and participates in stakeholder meetings and ensures project deadlines are met.
- Prepares agendas and any presentation materials for meetings.
- Documents and distributes minutes to all project team members and follows up on important actions and decisions from meetings.
- Assists the project manager in the development and monitoring of project management deliverables such as project charters, budgets, schedules, RAID log, etc.
- Provides administrative support as needed.
- Undertakes project tasks as required.
- May also manage lower complexity projects and , is responsible for the successful delivery of assigned projects.
Qualifications
- Min 1 year experience in project coordination or administrative support.
- Bachelor's Degree preferred, 2 additional years experience in lieu of degree
- Healthcare experience preferred; experience with Care Delivery (ambulatory, acute, post-acute) and/or technical project experience a plus.
- Ability to work effectively both independently and as part of a team.
- Strong organizational and time management skills, with a keen attention to detail.
- Strong verbal, written and oral communications skills at a high level of responsiveness.
- Strong interpersonal and relationship-building skills.
- Familiarity with Microsoft Office Suite, specifically Excel, PowerPoint, Project, Teams, and Sharepoint is preferred.
