Summary: Perform efficient administrative, secretarial and reception services for the Engineering and Operations Departments, and other duties as directed

Job Responsibilities and Functions: Initial Customer contact, along with processing and tracking customer work for the Engineering Department. Administrative support for the Engineering Department including scheduling, correspondence, work order tracking and secretarial needs. Duties may include but are not limited to the following:

  • Responsible for working with customers so they understand the PUD's new service process and requirements.

  • Be the main point of contact and responsible for customer management from start to finish of each individual project to ensure they receive excellent customer service.

  • Generate a positive professional image of the PUD with new customers.

  • Arrange customer appointments for KPUD engineering staff.

  • Complete correspondence, easements and purchase order requests for engineering staff as required.

  • Ensure proper coding for invoices for the Engineering Department

  • Maintain a comprehensive filing system for correspondence, reports, contracts and records of the Engineering Department.

  • Manage records retention preparation for engineering files

  • Create, record, track and file rights-of-way documents and contracts for electric service with the internal stakeholders and County Auditor.

  • Complete all data entry and tracking requirements for the Construction Work Orders and Service Orders for the Utility Billing system as required.

  • Complete administrative requirements for all incoming billings for easements, permits, and new customer joint-use applications.

  • Complete the Engineering Department's monthly and annual reporting for work order tracking.

  • Complete and mail documents for Local Utility District projects.

  • Complete all secretarial requirements for the Engineering Department personnel.

  • Coordinate and provide coverage for the Engineering and Operations support staff.

  • Assist Operations with support for radio coverage, outages, tree trimming and other duties as required.

  • Maintain a pleasant working relationship with all personnel.

  • Perform such other activities as may be required or directed.

  • Responsibilities included in this description do not preclude others from performing any or all of the tasks.

Knowledge of:

  • Working knowledge of standard office computer software, including MS Word, Excel, and Access.

Ability to:
  • Work independently as well as part of a team to ensure goals and deadlines are met.

  • Communicate with the public and staff, occasionally in stressful situations.

  • Assist and support team performance and work cooperatively with other team members.

Minimum Qualifications: High School diploma, or equivalent, with a minimum of five years' electric utility experience in utility operations and engineering with emphasis on substations, metering, and control.
  • Valid First Aid/CPR Card, or the ability to obtain within 6 months of regular status employment.

Valid Driver license: A valid Washington State driver's license.
Preferred Qualifications:
  • Administrative and organizational experience.
  • Strong customer service skills.
  • Excellent verbal and written communication skills.
  • Typing - 50 wpm.
  • Computer training in Windows, Word, Excel.
  • Training in Access and AutoCAD programs would be helpful.
  • Exceptional organizational skills and ability to multi-task.

  • Work schedule is comprised of 8 hours per day, 40 hours per week, Monday through Friday. Occasional work outside of normal business hours and weekends during outages.
  • Office environment requiring extensive sitting and performing computer work.
  • Ability to work unscheduled overtime as requested.
