The Dispatch Coordinator is responsible for maintaining the daily schedules of the Service Technicians and handling incoming service calls. Under direction of the Branch Manager, the Dispatch Coordinator will also maintain our customer/service order customer database and keep customers informed at every step in the process from dispatch schedule to lead times to the final call confirming that service has been delivered and the customer is happy. The Dispatch Coordinator may also assist with on-demand parts sourcing.
Duties and responsibilities
- Alternate point of contact for the branch's field/warehouse personnel for quick resolutions with dispatch assignments, Fieldgetics troubleshooting/sync issues, etc.
- Fulfill service dispatch responsibilities for the branch
- Dispatching service calls during the day
- Publishing on call schedule
- Maintain vacation/holiday coverage schedules
- Order material and issue PO's for all trades
- Obtaining material quotes, as requested.
- Itemize refrigeration Purchase Orders
- Maintain Open PO board seeing POs through to completion
- Facilitate vendor deliveries, follow up to ensure deliveries will be on time
- Track back orders
- Schedule construction rental equipment such as forklifts, scissor lifts, cranes, generators, welder, jobsite storage containers, trailers, dumpsters
- Coordinate pick up/delivery to jobsites
- Track on rent reports
- Maintain material pricing on Climate Pros Bid templates for estimators
- Maintain positive relationships and open communication with vendors, customers, and field employees
- Coordinate vendors to jobsite pickups for material returns
- Order shop stock material for your branch
- Perform other related duties as required and assigned
- Hours are Tuesday - Friday 12:00 p.m. - 10:00 p.m. & Saturday 9:00 a.m. - 6:00 p.m.
Education and experience
- High School Diploma/ GED
- 3-5 years of related administration experience including dispatch, purchasing, or similar.
- Experience in a service & parts environment such as HVAC or plumbing is a big plus
- Very strong attention to detail
- Mature judgment and strong organizational skills
- Use of analytical abilities to problem solve and anticipate departmental requirements
- Possess a strong proficiency for computers, including a good working knowledge of Microsoft Word, Excel and Outlook.
- Computer knowledge must include but not limited to: MS Office- Word, Excel and Outlook
- Must be able to work in a fast-paced department and be able to prioritize order requests.
- Accuracy and follow through are a must.
Physical requirements and working conditions
Regularly required to sit, stand, and walk; occasionally lift and/or move up to 15 pounds; noise level is usually moderate. All employees may be required to visit a customer site and/or complete a ride along with a field technician as part of their employment.
