Job description

Pay Range: $48,000-$50,000

Reports to: Development Director

Work Schedule: Full-time. Core Hours of Monday-Friday.
Must be able to work a flexible schedule with the possibility of some occasional early morning, evening, and weekend work.

Overall Purpose of this Role:
The Development Specialist role provides a unique opportunity to join a dynamic growing team at Helping Hands. In this role, you'll work alongside an expert, passionate group of Development, Communications, and Human Services professionals who are committed to the individuals and families experiencing homelessness that we serve in Oregon. The Development Specialist serves as the hub of the Development Department maintaining daily operations including providing primary administrative and communications support for Development and Communications projects. This work includes coordinating the department calendar, providing primary oversight and hands on management of the CRM, serving as Development Liaison with the Accounting Team, writing and researching grants, supporting communications work, representing the organization in outreach efforts, and providing an exceptional customer relations experience for staff, supporters, volunteers, and participants. Helping Hands is committed to recruiting, retaining, and developing its Hope Crew.

Key Accountabilities:

Operations & Communications Duties 55%

  • Manage CRM with a focus on data integrity and adherence to established policies
  • Enter gifts into CRM including checks, online donations, portals such as Benevity, social media platforms, and other channels, etc.
  • Collect information for in-kind donations from staff, volunteers, and supporters to enter in CRM
  • Generate timely donor acknowledgements for financial and in-kind donations
  • Add notes and future tasks from donor meetings as well as grant applications and reporting
  • Serve as the production coordinator for the main development and communications calendar
  • Work collaboratively with Communications Manager as requested on projects such as, but not limited to:
  • Create effective communication campaigns for the monthly newsletter and
    through social channels
  • Serve as strategic support for social media channels, website, and other comms functions
    as assigned
  • Review materials as requested for grammar and typographical errors
  • Attend and speak at events to represent HH and recruit new partners, volunteers, and advocates
  • Event support for organization's events such as the Annual I Believe in Hope and Day of Remembrance
  • Other duties as assigned

Grant Management 35%

In conjunction with the Development Director,

  • Inform and implement a grant strategy
  • Develop LOIs and grant applications, apply for grants, and submit grant reports
  • Research new prospective funders and grant opportunities that support
    the general operating support, program-specific, capital project funding, and other opportunities
  • Gather information or research as needed or requested for applications, reports, and other inquiries
  • Update and monitor grants calendar to ensure deadlines are met

Donor Relations - 10%

  • Respond to inquiries from supporters about their gifts and the organization (problem-solving)
  • Conduct face-to-face meetings, video conference calls, and in-person tours weekly with donors and prospects as requested and to create opportunities to expand Helping Hands' influence within each organization, as needed.
  • Represent HH at various networking and other outreach events
  • Other duties and activities as assigned.

Physical Requirements

  • Work is primarily performed indoors, within an open office setting with a moderate noise level and occasional exposure to scents.
  • Frequently operates a computer and other office productivity equipment, such as copy machine, printer, and phone.
  • Frequently required to sit/stand at a computer or in a stationary position.
  • Frequently required to move about inside the office for meetings, access to information, office equipment, etc.
  • Occasionally required to travel locally for meetings that occur in other office settings. Less frequent travel required to other locations within our 5-county service area for donor tours, grant and other presentations, funder site visits, etc.
  • Other duties and opportunities as assigned.

Education, Skills, Experience, and Training Required for this Position:

  • 2 + years focused sales/marketing experience with an applied emphasis on customer relationship building; significant applied fundraising skills
  • Bachelor's degree or comparable combination of education and experience.
  • Effective oral and written communications skills with an ability to relate with a diverse group
    of individuals or organizations in an effective manner
  • Effective public speaker to small- and mid-sized groups
  • Ability to think strategically with proven, strong ability to execute on plan
  • Ability to take initiative and be creative in thinking and solutions
  • High-energy individual who takes initiative with a positive outlook and can manage ambiguity and change
  • Commitment to excellence and to the mission of Helping Hands

Technical Knowledge:

  • Proficiency with Microsoft Office and Outlook required (currently used organizationally)
  • Familiarity with customer relationship management (CRM) systems
  • Must have valid driver's license, automobile insurance, and a reliable vehicle.

Preferred Knowledge:

  • Knowledge of electronic giving platforms preferred
  • Knowledge of and basic proficiency with Canva
  • Knowledge of and basic proficiency with Adobe products
  • Knowledge of and proficiency with GoDaddy! and other website platforms


Preferred Qualifications

  • Lived experience with homelessness and/or addiction.
