The Development Program Coordinator will provide high-level support for the major gifts team, writing briefings and proposals, and playing a key role in creating, executing, and managing efficient processes to support effective fundraising.
This role is full-time and is eligible for paid time off and benefits.
Duties and responsibilities:
- Writes concise briefings for the Head of School, Trustees, and other leadership volunteers to inform individual donor visits, and manages overall briefing process for Head of School travel with Chief Development Officer, coordinating with Alumni Relations and Admission colleagues.
- Regularly compiles mini-briefings for the Chief Development Officer, providing background information, including accurate lifetime giving reports, recent contacts and complete engagement summaries, with attentiveness to how donors view the story of their own philanthropy.
- Writes detailed proposals and summary descriptions for projects approved for fundraising, both template language for general use by gift officers and documents tailored for specific high-level solicitations.
- Supports the Director of Major Gifts in managing: 1) Choate's universe of donor prospects, reporting on prospect pools for gift officers across the department, summarizing giving, status, affiliation, and other data points, as needed and 2) the prospect Pipeline, ensuring changes in pipeline stages are being recorded by gift officers, compiling aggregate data, and sharing reports regularly.
- Supports Development collaborations with Admission by tracking potential regional hosts for recruitment, yield, and welcome events; monitoring connected families in the application process; and coordinating communications with educational consultants.
- Drafts and tracks gift agreements, confirms that completed and co-signed pledge schedules are accurately recorded in the database.
- Manages the pledge reminder process including coordinating with Gift Officers, communicating with donors, and ensuring appropriate follow-up and record-keeping.
- Designs and produces additional ad hoc reports based on data extracted from primary databases to inform strategic decision-making.
