Job Summary:
The Radiology Scheduling Coordinator provides a variety of department coordination and support functions for the Radiology Department at Westchester Medical Center. Duties may include patient scheduling, collecting and entering patient demographics, directing incoming calls, and maintaining the department’s central filing system utilizing the Radiology Information Management System (RIS), Picture Archiving and Communication System (PACS), Genesys Cloud System, uses CERNER to schedule and other related software. This position differs from the Radiology Assistant in that it includes responsibility for overseeing the coordination of staff scheduling and front desk activities, as well as the training of new scheduling staff.
Responsibilities:
• Oversees front desk operations and addresses any issues or concerns; • Coordinates and allocates the radiology scheduling staff for timely and efficient operations; • Coordinates the training of new scheduling staff; • Schedules appointments for various radiology departments with consideration to type of exam and preparation required, and updates and maintains updated electronic mail calendar for scheduled procedures; • Follows up on radiology lab-work and authorizations as needed; • Coordinates imaging services examinations with other hospital departments and physician’s offices, and prepares daily schedule for distribution; • Utilizes specialized telephone system, and monitors telephone system wallboard; • Provides telephone coverage for the Imaging Center and handles messages accordingly, retrieves messages from general and personal mailboxes, and reviews electronic mail and responds as needed; • Assists Radiologists with contacting referring physicians and patients in relation to scheduling procedures; • Monitors all incoming faxes for exam requests, and responds to website and email appointment requests; • Reviews all incoming prescriptions in RIS, and confirms appointments to be scheduled; • Contacts scheduled patients to confirm appointments, and follows up on missed appointments to reschedule as needed. • Provides technical support to internal and external customers utilizing digital technology for accurate electronic and manual image and data storage, reporting, and distribution; • Enters and retrieves radiology records and associated data utilizing RIS in conjunction with the PACS, CERNER, Genesys Cloud system and other related systems; • Assists with reports and CD requests, and retrieves and prints studies as requested by physicians, patients, and hospital staff; • Performs the overall maintenance of x-ray record files (electronic and hard copy) and related paperwork; • Updates the RIS to ensure accurate information for patients, staff, physicians, exams and reports; • Sorts, labels, and files correspondence, reports, memoranda, x-rays, forms, documents and data in accordance with procedures; • Provides information to departmental officials, professional staff, employees, patients and to others concerning contents of files in accordance with established procedures for authorized access; • Performs regular quality control of the files and filing system to ensure accuracy and to update the files in accordance with prescribed procedures, rules and regulations; • Duplicates file contents using technical procedures and equipment, and transports files when required; • Assists users in the resolution of minor department technology related issues; • Effectively uses automated systems to perform work assignments; • Performs related duties as assigned. • Review daily reports • Manages staff schedule • Runs call center meeting to address old and new issues. Qualifications/Requirements: QUALIFICATIONS: Excellent customer service and communication skills; good knowledge of comprehensive electronic filing systems and their operation in a radiology setting; familiarity with modern office practices including the use of automated equipment and other labor saving devices in office work; ability to understand and carry out complex oral and written instructions; ability to get along well with others as well as coordinate the work of staff; reliability; resourcefulness; ability to read, write, speak, understand and communicate in English sufficiently to perform the essential duties of the position; initiative; accuracy; and physical condition commensurate with the demands of the position.
Experience:
Three years of experience performing general office or clerical work, two years of which must have involved radiology patient scheduling or the filing of electronic records in a radiology setting. Substitutions: Satisfactory completion of 30 college credits* may be substituted at a rate of 30 credits per year for up to two years for the general experience. There is no substitution for the specialized experience in a radiology setting.
Education:
High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.
