The Data Entry Specialist shall provide computer/data management support for the clinic. The Data Entry Specialist will work with the ARNP to maintain the healthcare records and provide records release to requesting agencies, in accordance with the legal implications for confidentiality. The Data Entry Specialist will report functionally to the Clinic Director.
This position is part of the Emergency Response Team and is expected to be available on-site during weather-related emergency situations (e.g., tropical storms, hurricanes). In the event of a weather-related emergency, you will report to the Director of Operations and/or Facilities Director for specific instructions. Special circumstances will need to be approved by your immediate supervisor.
Core Responsibilities/Essential Functions:
· Maintain medical records to ensure that patient files are accurate and complete, and that patient confidentiality is strictly maintained, per HIPAA regulations
· Maintain database as specified by Polk County Indigent tax funding, including Data Entry of patient intake information and post-examination information
· Interview patients, initiate intake paperwork, including pharmacy data as needed; schedule patients for new visits and follow up care
· Determine patient needs and assist patients to apply for assistance as necessary or indicated including organizing transportation for clients
· Respond to correspondence, provide letters for patients as requested by MD or ARNP
· Generate monthly reports for Talbot House Ministries, Public Health Department, and Polk County using clinic computer programs.
· Perform monthly inventory and order supplies for all office areas
· Provide administrative support to clinic personnel including dictation of letters, assisting with scheduling, filing, faxing, scanning, diabetic tracking/input, and assisting with pharmacy operations as needed
· Verify that all office opening and closing tasks have been performed each day, including monitoring all office areas, patient rooms and waiting room to ensure they are neat, clean and organized
· Perform other duties that may be assigned as needed, and in accordance with the direction of the Clinic Director
Education and Background:
- High School Diploma
- Prior experience working with homeless and medically indigent clients is preferred
- Basic computer literacy and experience with Microsoft office and Microsoft Word
- Excellent telephone etiquette and customer service skills
- Must be able to lift and carry packages in excess of 20 pounds
All positions at Talbot House Ministries require mandatory ongoing training and every employee is required to be available for all scheduled trainings. In addition, employee attendance is required at all mandatory staff meetings.
