SUMMARY: Ensure the seamless functioning of the sales department by performing accounting and financial tasks, including billing processes, monitoring accounts receivable and accounts payable transactions. This position aims to maintain data integrity through accurate and organized Data Entry, while also serving as a central point of contact for internal teams. Effective communication is essential within the department to promptly address inquiries and facilitate the flow of information, supporting the sales process.
RESPONSIBILITIES:
Accounting and Financial Duties:
- Perform daily billing processes, ensuring accuracy and timeliness
- Monitor and collect payments for accounts receivable, addressing discrepancies proactively
- Process and approve accounts payable transactions
- Resolve open troubles efficiently and make adjustments as needed for financial accuracy
Data Entry and Maintenance:
- Accurately input and update orders in the company's internal ERP system
- Review, verify, and promptly correct data for completeness, accuracy, and consistency to maintain data integrity
- Regularly update and maintain databases for organized, up-to-date, and easily retrievable information
- Keep detailed reports of tasks, activities, and changes made to the database for reference and analysis, handling sensitive and confidential information with discretion
Communication and Collaboration:
- Communicate effectively with team members and the Finance Department’s Accounts
- Receivable (AR) and Accounts Payable (AP) to ensure accurate and timely Data Entry
- Act as a central point of contact for internal teams, facilitating the flow of information to support the sales process
- Address customer inquiries promptly and professionally, providing initial support and efficiently routing inquiries to the appropriate sales team members for resolution, as needed
KNOWLEDGE/SKILLS/ABILITIES:
- Proven experience in Data Entry and administrative support roles
- Strong attention to detail and commitment to data accuracy
- Excellent organizational and time-management skills
- Ability to handle sensitive information with discretion
- Effective communication skills for collaboration with internal teams and respective departments
- Knowledge of ERP systems and proficiency in data management
- Familiarity with basic accounting principles and processes
EDUCATION/EXPERIENCE:
- High School Diploma or GED required
- Minimum of one year of relevant experience in Data Entry or a related field required
- Minimum of one year of customer service experience preferred
- Basic accounting / bookkeeping knowledge required
