EXECUTIVE SECRETARY
12-month position
Reports to: Executive Director
Responsibilities
SPECIFIC DUTIES:
Activities serving the Executive Director of DAOES: Serve as the DAOES Board Secretary.
- Prepare and maintain official records of Board action, including official meeting minutes and organizational documents (contracts, leases, resolutions, etc.).
- Prepare monthly, special and committee meeting agendas, and maintain minutes of committee meetings.
- Prepare all Board communications, both to Board members and by Board direction;
- Prepare all certificates presented at the DAOES Board Meetings (i.e. DAOES Students of the Month, Staff Anniversaries and Retirements).
- Create and post DAOES Students of the Month Posters.
- Completes official documents, reports and school calendar accurately and submits to the ISBE/Regional Office of Education for approval.
- Employee Information System-Enter teacher course assignment data, salary info, evaluation, and attendance in EIS.
- Gather data from member districts to create calendar for Board approval. Make adjustments at year end for emergency days used and submit for final approval.
- Generate, maintain and disseminate informational documents (policy and regulations manual, enrollment data, etc.).
- Assist in preparation and maintenance of confidential negotiation and litigation; materials; and other duties as assigned by the Executive Director and/or Board Secretary.
- Provide support for grant communications and meetings as requested.
- Other duties assigned by Executive Director.
Activities in area of personnel:
- Post open positions on Frontline and or Indeed as instructed by Executive Director. Monitor responses and direct toward appropriate department.
- Assist with the procedures used to create and maintain accurate, up-to-date confidential personnel files.
- Assist new staff and substitutes with completion of all paperwork and documentation necessary for employment, including background checks.
- Prepares contracts for new employees.
- Maintain employee database.
- Assist new staff with licensure process and process license renewals for current staff.
- Collect information and send forms for sexual misconduct disclosure.
- Complete Verification of Employment requests.
- Record staff absences in shared spreadsheet, verify daily, run monthly attendance report from SDS.
- Other duties assigned by Executive Director.
Activities serving the Executive Director in the area of Center staff supervision:
- Prepare all correspondence to staff as requested by Executive Director.
- Schedule staff meetings with Executive Director.
- Communicate staff and administrative team requests to Executive Director.
- Assist in organization and preparation of staff manuals.
- Assist in Business Office as needed.
- Manage Building Activities calendar.
- Manage TCD Events calendar. Gather dates from staff, coordinate with Building Calendar, send out calendar invites.
- Other duties assigned by Executive Director.
- Experience in a central office position highly recommended.
- Experience with human resources highly recommended.
- Associated Degree or higher recommended.
- Well organized.
- Ability to maintain and convey a professional attitude and appearance.
- Knowledge of general office procedures and software such as Word and Excel; presentation software and desktop publishing; transcription; maintenance of personnel files, internal and external correspondence, interpersonal skills, schedule meetings, and proper maintenance and dissemination of confidential material.
- Ability to multi-task, prioritize and meet deadlines.
- Accounting background recommended or successful experience in similar field of responsibility.
