TITLE: CTE ACCOUNTING CLERK
CONTRACT TERMS: 11-month
SALARY CLASSIFICATION: Support Staff Salary Schedule - Group F
- $15.12
To provide accounting services to the CTE Director; to assist with the smooth and efficient operation of the CTE department at both district high schools; to maintain a high level of confidentiality; and to have a positive working relationship with the CTE Director and staff
ESSENTIAL FUNCTIONS
Provides administrative support to the CTE Director
Communicates with school personnel, constituents, and business community
Assists CTE Teachers throughout the district
Enter program requisitions in a timely manner
Receives, verifies, processes and reconciles purchase orders to invoice payments
Maintain purchase order binders for current school year and organizes records from previous years
Provides copies of purchase orders to teachers
Track, receive and deliver orders
Assures assignment of asset identification Tag Numbers to newly purchased items and donated equipment
Reconciles asset values to the general ledger and assists in preparing reconciliation reports
Travels to various school sites, conducts physical inventories as needed, especially relating the CTE program openings, closings or teacher transitions. May assist in the physical disposition of program property - HelpDesk tickets, etc.
Keep an active inventory (including stolen items, police reports, items that have been transferred or disposed, etc.) - inventory control/equipment security, as determined by JTED, district, state and federal regulations. Prepares special, annual and scheduled reports on inventory, funds, and values and on other information as required.
Collect and maintain program receipts for business office with proper signatures, dates, etc.
Assists teachers with purchases; assure all documentation is received
Provide monthly program supply balances to instructors
Issue and collect documentation needed for new vendors
Initiate and receive vendor phone calls; contact vendors for accurate invoices, etc.
Maintain software library for CTE department
Assist teachers with travel packet for board approval
Maintain all open purchase orders
Back-up for state reporting and state assessments
Back-up driver/additional chaperone for teachers
Attend professional development courses
Additional duties such as creating reports, agendas, brochures, notebooks, spreadsheets, memos, flyers, forms and other program materials
Assists in coordinating and participating in CTE events
Assists in program reviews/audits - JTED/ADE
Marketing through social media and website
Creates and updates CTE teachers manual
Performs errands and relays messages;
Performs other related office and typing tasks as assigned;
Performs other related tasks as assigned.
QUALIFICATIONS
A. REQUIRED EDUCATION, TRAINING & EXPERIENCE
High school diploma or equivalent;
Two years of related work experience;
Demonstrated proficiency with PC programs, such as Microsoft Word, Excel, PowerPoint and Publisher (desired)
Ability to communicate and work well with staff, students and the public.
