Schedule: Monday-Friday 8:00 - 4:30

Major Responsibilities:

  • Collect resale certificates for new accounts from the Credit Department associates. Verify all information is included, e.g. tax id #, name and address, description of business, document is signed and dated. Certificates are uploaded to Vertex.
  • Required to know individual state requirements for resale certificates to provide guidance to Credit team.
  • Review daily reports to determine whether we are compliant with our existing tax certificates on file. If a corporate change has been made, then a request is made for a new certificate and a new legal entity is created.
  • Primary liaison with Corporate Tax team.
  • Responsible for yearly tax audit which requires 100% compliance to avoid unnecessary tax expense for Essendant.
  • Maintain Vertex website by mapping the legal entity to the tax certificate. Select jurisdiction of purchaser’s registration. Upload certificate. Verify and approve entries are correct.
  • Responsible for issuing tax credits for customers charged tax in error.
  • Responsible for testing upgrades to Vertex system, and handling all system issues with IT.
  • Create spreadsheet to remove 3rd party dealers registered in California, Florida, Massachusetts, Maryland, and Mississippi, as well as federal government agencies.
  • Understands and demonstrates Essendants’ Core Values.
  • Performs other duties as assigned, e.g. special projects.

Skills/Knowledge Required:

  • Must be familiar with states’ resale tax certificates and requirements.
  • Intermediate organizational and analytic skills.
  • Intermediate attention to detail.
  • Basic knowledge of Microsoft Excel and Microsoft Word.
  • Basic knowledge of SAP.
  • Excellent verbal and written skills.

Education and Experience:

  • Associate’s or Bachelor’s Degree preferred.
  • 1 – 2 years directly-applicable work experience preferred.
