Job description

Under minimal supervision, performs as lead clerk with complex work of considerable difficulty in case processing and legal clerical duties.

  • Responds to complex inquiries from subordinates, Judges, attorneys, and the public; prepares correspondence and legal documents.
  • Coordinates and confers with administrative, managerial, and judicial staff; assists and makes recommendations on policies and procedures; assists in creating and updating written procedures; coordinates and assures department compliance with statutes and rules.
  • Oversees functions to a specific unit; with supervisor, assigns daily work and directs flow to ensure completion of assignments.
  • Maintains legal files and indices; enters and maintains data in automated court case management system; receipts documents; prepares and processes formal orders; answers telephones; maintains, monitors, and reviews disposition of case files.
  • Trains new clerks in specific modules or processes.
  • Performs other job-related duties as assigned.

Education:
High school diploma or equivalent.

Experience:
A minimum of four (4) years of progressively responsible clerical and/or administrative experience.

Additional Requirements:
Must possess a valid Arizona driver's license without restrictions.
Paralegal Certification preferred.

Required Knowledge, Skills, and Abilities:

Knowledge of:

  • Court system rules and regulations governing the departments.
  • Arizona Code of Conduct for Judicial Employees and Clerk of Court and Yavapai County policies.
  • Business English, spelling, grammar, punctuation, and composition.
  • Clerical office practices and procedures.
  • Current Microsoft Office software.
  • Filing and recordkeeping.

Skill in:

  • Customer service
  • Time management.
  • Communicating effectively and professionally, both verbally and in writing, including in a face-to-face setting by telephone and/or any form of written communication with public and employees.
  • Establishing and maintaining effective working relationships with employees, other agencies, and the public.
  • Organization and adherence to detail.

Ability to:

  • Handle high volume of assignments including responsibility for training new clerks.
  • Understand applicability of confidentiality to court records and maintain such confidentiality as required by court rules or statutes.
  • Complete detailed work accurately and in compliance with department standards.
  • Adhere to the Arizona Code of Conduct for Judicial Employees, as well as Clerk of Court and Yavapai County policies.
  • Type at the minimum speed of fifty (50) WPM.
  • Work under pressure in a dynamic environment with changing demands and priorities.
  • Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
  • Keep management informed of key operating issues affecting the department.
  • Remain current in knowledge required to perform assigned duties.
  • Handle confidential matters and maintain discretion always.
  • Work professionally and effectively with co-workers, parties, victims of crime, witnesses, and the general public.
  • Act with courtesy, tact, and diplomacy.

Work Environment:

The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.

Physical Requirements:

Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
