Position Details:

This role is part of a team of five responsible for the HR Operations and the end-to-end recruitment of global legal and business professional individuals for Kobre & Kim. The role is also responsible for first-line queries and HR Operations, including onboarding and induction of all new hires globally, as well as supporting the recruitment teams with diary management and screening calls.

The role sits within the wider People team comprised of Talent Acquisition, HR Operations, HR Business Partners, Reward and Benefits, HR Systems and Attorney Development.

Manager, Recruiting & HR Operations

Location:

Primary Responsibilities:

Responsible for all administrative duties for the talent acquisition and HR operations team including, but not limited to:

Recruiting

  • Maintain the firm's applicant tracking system (Workday) with candidate application statuses; update interview schedules and maintain recruiting reports such as candidate trackers and weekly updates
  • Posting job requisitions on Workday and other platforms such as LinkedIn
  • Opening, editing and closing job requisitions as required
  • Scheduling interviews and screening calls for global legal and business professional roles, including diary management for the team
  • Drafting search firm and agency agreements
  • Liaising with agencies, candidates, lawyers and EAs to gain availability and gather feedback
  • Coordinating assessments and tests for candidates when required, either via Zoom or face to face
  • Ensuring a smooth candidate experience from initial application to offer; greet and manage interview scheduled for candidates interviewing in office
  • Prepare and send offer paperwork and contracts in line with local requirements
  • Conduct screening calls for some roles and eventually have the opportunity to run your own recruitment roles (if desired)


HR Operations
  • Create and maintain employee HR records in line with requirements
  • Responsible for background and conflicts checks for new hires
  • Run new hire HR inductions on a weekly basis or as required
  • Scheduling all onboarding sessions and producing onboarding materials
  • Liaising with new joiners throughout the onboarding and hire process
  • Assist with managing the global HR inbox, legal recruiting inbox and onboarding inbox
  • Responsible for producing the firms public holiday schedule
  • Process team expenses and recruitment related invoices
  • Maintaining the integrity of data on Workday
  • Act as first line support for all HR operations queries, escalating as necessary


Candidate requirements:
  • B.A. or B.S. degree required
  • At least 1-2 years working in an administrative role (legal or professional services firm would be beneficial)
  • Strong communication skills, both verbal and written - ability to build professional relationships while maintaining confidentiality
  • Ability to work with people at all levels of seniority, both employees and candidates
  • Strong attention to detail, organization skills and ability to pivot and adapt depending on priorities
  • Ability to work collaboratively across global teams; build and maintain strong relationships cross-department and office throughout the firm
  • Previous use of an applicant tracking system and HR system preferred
  • Strong in MS Office suite (Outlook, Word, PowerPoint & Excel)
  • Ability to attend the office three days per week (Tuesday, Thursday and one day more out of Monday / Wednesday depending on team needs)


At the time of posting, the salary range for this role is $70,000 (minimum) - $80,000 (maximum).

The successful candidate's actual salary will be determined based on permissible, non-discriminatory factors, including but not limited to relevant experience, qualifications, licensure/certifications, training, skills, and market data.
