Job Description
About the Position
The Senior Manager, Talent (HR) Systems & Operations will support the design, manage, and execute the implementation, ongoing development, and overall maintenance of our HR systems suite, while ensuring efficient operations and continuous improvements to meet current and future organizational needs. You will be responsible for capturing, directing, and analyzing all activities in these systems to maintain continuity and successful delivery of services to all users in partnership with other KIPP Foundation teams (e.g. IT, Finance, etc) - this includes providing learning experiences to help users effectively navigate HRIS and talent policies. insights You will help create a high-quality employment experience for KIPP Foundation staff by directly supporting staff members with navigating KIPP Foundation benefits program and policies. In addition, you will be responsible for the administration of KIPP Foundation's Total Rewards package, including all employee benefits (medical, dental, retirement, etc), compensation, and employee policies.
Responsibilities
Overseeing HR Internal Systems, Programs, and Operations (30%)
The Senior Manager, Talent (HR) Systems & Operations will build upon our current HRIS and talent systems to provide strategic talent reporting and an exceptional level of client services.
  • In collaboration with Vice President, Talent, set and execute vision for key HR initiatives to enable growth, increase efficiency, improve employee engagement, and minimize risk. Projects include, but are not limited to:
  • Review talent systems to identify efficiencies, enhancements, etc
  • Implement Talent systems to support organizational initiatives such as systems selection, configuration, enhancements, workforce planning, promotions, total rewards and recognition strategy, etc.
  • Performance management
  • Knowledge Management
  • Compliance training for staff
  • Implementing goals-based initiatives and determining measures of effectiveness
  • Compliance reporting to federal, state, and local regulatory agencies and internal stakeholders
  • Provide technical support, troubleshooting, guidance, and learning experiences, including onboarding and ongoing HRIS training to support users for a seamless user experience.
  • Provide administrative support related to Talent Operations and HRIS/program processes, including but not limited to:
  • Effective processing of payroll, benefits, absence/leave programs, on/offboarding, background screening, and training compliance and unemployment
  • Maintaining the employee handbook and recommending new approaches, policies, and procedures
  • Coordinating invoices and billing
  • Presentation and spreadsheet creation
  • Support the research and selection of vendors providing talent services, as needed.

Serve as an HR Generalist Expert while Organizing, Maintaining, and Communicating HR Policies (40%)
As a member of the talent team, the Senior Manager, Talent (HR) Systems & Operations will exercise strong judgement and discretion with confidential information and will understand HR-related regulations and compliance procedures.
  • Lead and coordinate HR activities to ensure compliance with all applicable laws, policies, regulations, and agreements with support of in-house counsel.
  • Ensure timely accurate, and high-quality response to HR queries made to AskTalent
  • Develop and maintain communication/learning materials that arm KIPP Foundation employees with the information needed to fully capitalize on all of the organization's employee offerings.
  • Organize and maintain up-to-date, legally compliant, and easily accessible HR policies.

Benefits Administration (30%)
Oversee the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, flexible spending plan, retirement plans, etc.), while providing excellent customer service to KIPP Foundation staff.
  • Serve as primary contact for plan vendors and third-party administrators.
  • Coordinate transfer of data to external contacts for services, premiums and plan administration.
  • Evaluate and revise internal processes to reduce costs and increase efficiency.
  • Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
  • Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing.
  • Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.

Experience & Qualifications
Ideal candidates will bring:
  • 4+ years of proven outcomes in managing and executing HRIS, talent operations, HR policies, and learning experiences
  • A track record of delivering great customer service while effectively managing relationships with key stakeholders (e.g., Finance Teams, IT teams), along with advising, influencing, & challenging stakeholders when needed.
  • Proficiency in data analysis including use of formulas such as Vlookups, pivot tables, and data visualization tools
  • Excitement to engage in an innovative and agile environment focused on continuous learning and improvement
  • A drive to make decisions through passion for impact, thoughtful analysis, and a consistent lens on equity
  • Experience using HR systems (ADP, Smart Recruiters, Workday, etc.)

Additional Information
Work Conditions
  • Travel requirements: 10-25%
  • Full-time, exempt role

Location
It is preferred, but not mandatory for this role to be based out of a KIPP Foundation office. This role also has the option of working from a remote office full-time. KIPP Foundation office are in NYC and Chicago.
Compensation and Benefits.
In compliance with local law, we are disclosing the compensation, or a range thereof, for roles in locations where legally required. Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, and relevant experience. The salary range for this position is [$100,000 - $118,000]. In addition, KIPP Foundation provides a variety of benefits to employees, including:
  • 25 holidays for + 18 days additional flexible PTO days (flexible PTO increases to 23 days for years 3 and 4 and to 28 days for years 5+).
  • 100% paid parental leave
  • 100% coverage of the premium for employee and 75% for employee + family's medical/dental/vision plans.
