Job Description – Project Controls Specialist/Scheduler
General Description
To ensure company and contract records are accurately maintained, subcontracts are complete and required subcontractor submittals are received, and ensuring financial performance goals of the company are met.
Key Responsibilities
Recordkeeping:
Maintain bid and job folders per company standards, including customer RFP, requirements, subcontractor bids and project communication.
Work with customer IT platforms to reconcile company and customer records.
Initiate project setup with accounting and contracts administration once bids are approved.
Subcontracting:
Sending workorders to subcontractors after project is approved. Ensure subcontracts are returned and recorded for accounting and contracts administration.
Review subcontractor invoices for compliance with work order scope and amounts.
Enter subcontractor invoices into accounting ERP.
Identify to Project Managers if Prevailing Wage or other subcontract filings are required.
Ensure subcontractor close-out at end of project in ERP
PM and Project Support:
Assist in the compilation of monthly project financial performance reports.
Assist project managers with development of project procedures.
Work with Project Management on project close-out, final submittals, and customer feedback.
Invoicing:
Prepare and submit customer invoices in customer’s invoicing platform monthly based on project progress to date.
Enter invoice information into company accounting ERP.
Prepare monthly Accounts Receivable report for Project Managers
Other Duties and Responsibilities:
Assist with contract/subcontract compliance issues.
Coordinate with project managers, operations management, accounting, and subconsultants.
Maintain communications on all projects, estimates and inquiries.
Other duties as requested.
Minimum Requirements
Bachelor’s Degree in related field or two (2) or more years’ experience performing project controls in a Construction environment, EPC and/or cost-based estimating.
Excellent communication skills. Demonstrated history of customer interaction.
Prior experience with JD Edwards preferred.
Prior experience with Zoho preferred.
Travel Requirements
Percent of Time 15%
Salary Range: $145,000 to $173,000.00 annually
