We are currently looking for an experienced Bookkeeper/Accountant to join our team! 

This person must demonstrate a positive, professional, and client-oriented attitude about the company with homeowners, Boards of Directors and their representatives, vendors, co-workers, and the public whether contact is by mail, telephone, e-mail, or in person.  Constantly strives for improvements in work processes and results to better meet clients' expectations.

Accounts Payable Responsibilities

  • Responsible for reviewing, entering, and coding bills correctly in the system to ensure proper delivery of payment. 
  • Resolves vendor inquiries.  Answers questions regarding account balance and status of payment in a professional manner. 
  • Prepares, reviews, and issues payments for check requests in a timely manner. Ensures checks are issued with proper authorization.  Responsible for the distribution of checks. 
  • Reconciles bank, vendor, and credit card statements on a monthly basis to ensure accuracy.  Responsible for contacting bank, vendor, or credit card company to dispute any charges.   
  • Reviews and maintains credit card and petty cash accounts.  Verifies and maintains receipts.  Enters and codes expenses in the system. 
  • Reviews, verifies, and pays recurring monthly expenses in a timely manner.

Accounts Receivable Responsibilities

  • Collects and reviews documentation from technicians, subcontractors, and suppliers for completed projects. Creates invoices to customers, utilizing the proper income accounts. Reviews customer information for proper delivery of invoices and distributes invoices to customers.
  • Prepares, reviews, and distributes invoices to customers for recurring semi-weekly and monthly remuneration in a timely manner.
  • Manages and resolves outstanding accounts receivable issues.  Resubmits claims and provides the necessary information to support prompt payment. 
  • Receives, prepares, and posts payments from customers (includes property associations and property owners).  Prepares and delivers daily deposits to the bank. 

 Payroll

  • Collects and enters new hire information into the payroll system.  Creates and maintains employee files.
  • Collects and enters employee status changes (benefit deductions, tax information, marital status, terminations, etc.) into the payroll system.
  • Collects and verifies timesheets.  Calculates and compares actual hours worked versus billable hours for Maintenance Technicians assigned to the field.  Calculates incentive payments, as required.  Processes payroll bi-weekly and semi-monthly.
  • Responsible for paying, filing, and maintaining records of payroll taxes. 

Office Administration

  • Maintains essential company and property records and files.
  • Performs general administrative tasks as necessary.

Our technicians receive on-going OSHA safety training and trade specific education.
