Primary Functions
Under the supervision of the VP of Operations, the Club Director is responsible for the management and operations of the designated Clubhouse which includes recruitment, training, and supervision of staff, program creation, service delivery, resource development, facilities management, community relations, and membership administration.
Key Roles (Essential Job Responsibilities):
Programs:
- Develop annual Clubhouse budget, analyze monthly P&L reports, and submit findings to Director, Program Services.
- Plan and manage staff in coordination of special events.
- Market the Clubhouse to increase the visibility of programs, services, and activities in an effort to increase funding.
- The Club Director promotes and stimulates interest in the Club programs and events by establishing positive relations in the community, including but not limited to parents, schools, civic groups, and businesses.
- The Club Director completes and submits time sheets, reports, financial records, and member statistics and in a timely and comprehensive manner.
- Develops monthly staff schedule to include work hours and assignments.
- Manages the daily input of information into the database; and reviews this information monthly with Director, Program Services.
- Create a monthly report on the member’s attendance, programs and activities provided evaluations of each program/activity offered, and a fiscal report on expenses/revenue for submission to Director, Program Services.
- Conduct a monthly inventory of equipment and supplies; and assure that all are maintained.
- Conduct and attend scheduled staff meetings.
- Uses PO’s to order all necessary supplies.
Resource Development
- The Club Director will work closely with the Resource Development staff to build a donor base for the Clubhouse.
- The Club Director will track in-kind gifts on a monthly basis.
- The Club Director provides supervision, leadership, training opportunities, and performance reviews for all Unit staff and volunteers.
- Staff meets for the purpose of discussing and coordinating program plans, evaluating programs and activities, and/or participating in in-service training.
- The Club Director is responsible for the care and maintenance of the building and grounds.
- The Club Director is responsible for all community service individuals. The Club Director will assign these individuals tasks, oversee them, and fill out the appropriate paperwork for those individuals.
- Ensure that signs and posters are attractively and prominently displayed throughout the Clubhouse.
- The Club Director is responsible for transportation.
- Ensures that the policies and objectives of the organization are implemented at the Club. This includes the discipline policy for the staff and members.
- Is responsible for all crisis management.
- The Club Director will develop and support the Unit Advisory Board.
Additional Responsibilities
- May oversee special events and/or programs.
- May be required to drive a Club van.
- May consult with parents concerning member and Club issues.
Relationships
- Internal: Maintain close, daily contact with Club staff and Club members.
- External: Maintain contact as needed with external community groups, schools, member’s parents and others to assist in resolving problems.
Skills/Knowledge Required:
- Bachelor’s degree from an accredited college or university, or equivalent experience.
- A minimum of five years’ work experience in a Boys & Girls Club or similar organization, planning and supervising activities based on the development needs of young people, or equivalent experience.
- Demonstrated ability in staff supervision, facilities management, and the recruitment and retention of staff members.
- Strong communication skills, both oral and written.
- Ability to recruit, train, supervise, and motivate staff.
- Ability to deal effectively with staff and members, including discipline problems.
- Working knowledge of budget preparation, control, and management.
- Ability to assist in fundraising events.
- Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
- Demonstrated organizational, staff and project management abilities.
- Demonstrated ability in working with young people, parents, and community leaders.
