Education: Four-year college degree, with a preferred major in related field, i.e. Hotel Management, Business or Marketing or 5 years prior experience in Conference & Catering. Ability to speak, read, write and comprehend the English language at a level sufficient to communicate effectively with staff.
Training & Experience: Prior experience as assistant DIRECTOR OF CONFERENCE and catering at a Five Star/5 Diamond property. Leading a team of catering coordinators and event planning. Must have a valid Driver’s License.
Job Knowledge: Must have a working knowledge of service agreements and banquet event orders and a general knowledge of club/hotel/resort operations and procedures.
Job Summary: Responsible for developing, managing and coordinating the many and varied details relating to the successful servicing and execution of group meetings, functions, private events and weddings.
Physical Abilities: Must be able to work on feet, moving about for several hours at a time. Be able to work under busy conditions.
Job Duties and Responsibilities

• Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.
• Coordinate all requirements for various conference groups booked by the Sales Department and Day Events. Responsible for enforcing the terms of sales letter of agreement and guiding meeting planners through the planning process.
• Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Communicate the needs and expectations of the client with all departments in the hotel. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
• Supervise the execution of banquet events. Review all function space with banquet manager and when necessary head house attendant. Ensure successful execution and satisfaction of client at the outset of all events.
• Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning CS Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Planning Visits, and Menu Tastings.
• Comply with Ponte Vedra Beach Resorts standards for conference services, while working harmoniously and professionally with co-workers and planning committee.
• Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel.
• Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.
