POSITION SUMMARY
The Clinic Receptionist/Scheduler schedules, greets and registers patients and provides reception, routing phone calls to the appropriate party and collecting payments when necessary. This position ensures the cost-effective and efficient flow of communications when assisting patients with appointment scheduling. Ensures optimal customer service and accurate and efficient patient registration. Provides clerical support to the clinic on a daily basis.
ESSENTIAL JOB FUNCTIONS
- Greets and interviews patients to obtain accurate and complete demographic, financial, and visit-specific information.
- Answers and routes phone calls to the appropriate personnel in a timely manner.
- Maintains current knowledge on all of the information systems so the scheduling of patients remains efficient.
- Provides accurate data regarding operating procedures in order to make necessary improvements to maintain high quality customer service.
- Possesses the knowledge of insurance services and the various Physician Clinic facilities in order to provide friendly and helpful customer service.
- Attends all monthly meetings to keep informed on any hospital and department policy changes.
- Performs clerical functions including: mail processing, distributing faxes, maintaining patient education materials, processing charge tickets, posting checks, and other duties as assigned.

- Determines priorities in workload and completes projects in an accurate and timely manner. Performs other duties as assigned.
- High school diploma or GED required, with advanced course work and training highly desirable.
- Basic medical terminology, insurance billing, and computer familiarity is required.
- Three years of experience in automated scheduling in a physician office preferred and multi-provider medical office experience highly desired.
- Superior oral communication skills and spelling accuracy required.
- Excellent customer service orientation and proven experience in personnel development and teamwork required.
- Effective interpersonal and organizational skills required.
- Basic office equipment familiarity and the ability to work in a fast-paced environment with frequent interruptions required.
- Incumbent must maintain a positive disposition at all times.
- Comfortable with regularly verifying and processing insurance eligibility and obtaining authorization requests, including verifying personal credentials with external partners to obtain this information (e.g., ID.me for identity verification for VA insurance coordination).
