Washington, DC Law Firm is looking for a Client Services Specialist to be the first point of contact for potential clients inquiring about representation. This position involves speaking with first time callers on the phone, following up on inquiries received via email and other lead sources, receiving and organizing relevant documents, and scheduling consultations with an attorney.
The ideal candidate must have at least 1 year experience in a Law Firm, a strong interest in and/or experience with customer service, client intake, and sales. Experience with phone intake is a plus. Must have a pleasant and professional phone demeanor, excellent communication skills, and be empathetic, confident, resilient, patient, and inquisitive while speaking with potential clients. Must excel in a fast-paced work environment and adapt well to evolving procedures. Must have working knowledge of Microsoft Outlook, Microsoft Word and Adobe is required, experience working within Salesforce or other CRM is a plus. Experience in Client Services, client intake, and/or sales in a Law Firm or other corporate environment is a plus.
Job duties include:
· Answering inbound/outbound calls, chats and contact form inquiries from potential clients within 2 hours of initial inquiry;
· Providing high quality customer service to internal and external clients on a daily basis;
· Navigating online sales software (Salesforce) to create, manage and track all inquiries electronically;
· Effectively explaining the firm’s intake procedure to potential clients;
· Organizing qualified potential clients for a consultation to speak with an attorney in a timely manner;
· Collecting consultation and retainer payments, including processing credit card transactions;
· Receiving and organizing consultation documents for attorney review;
· Constantly working to expand knowledge base of relevant legal practice areas to identify the type and strength of potential claims;
· Working effectively with the Client Services and marketing teams;
· Maintaining a professional demeanor and integrity at all times;
· Maintaining client confidentiality;
· Maintaining excellent organization and time management skills; and
· Additional duties as assigned.
